About the Role

We are seeking a highly motivated and organized Administrative Assistant to provide confidential administrative services in a timely and effective manner.

The successful candidate will be responsible for managing multiple tasks efficiently while maintaining a high level of discretion.

Key Responsibilities
  • Provide administrative support to the Head of Function, including managing their diary and coordinating meetings and functions.
  • Liaise with relevant business units to ensure the efficient running of the Function.
  • Manage travel bookings to achieve cost efficiencies.
  • Support day-to-day project delivery through administrative activities, including research, document management, stakeholder support, and report production.
  • Maintain inventory levels of stationery and IT equipment.
  • Act as Functional Records Officer, ensuring accuracy in filing systems and archiving.
  • Manage a central database of employee activities, including training schedules and absence records.
  • Handle financial management tasks, including raising purchase orders, processing invoices, and credit card reconciliations.
  • Produce reports, correspondence, and presentations in a timely and accurate manner.
  • Support the preparation of business reporting requirements.
  • Maintain and manage calendars, ensuring they are accurate and up-to-date.
  • Identify issues, provide advice, and escalate matters as necessary.
Requirements
  • Knowledge of basic office management principles and practices.
  • Proficiency in Microsoft Word, Excel, and PowerPoint.
  • Understanding of administrative functions and office practices.
  • Demonstrated ability to deliver high-quality, customer-focused administrative services.
  • Strong written and verbal communication skills.
  • Ability to maintain a high level of accuracy and confidentiality.
