This is a fantastic opportunity to work for a leading West Australian family law firm that has established a strong reputation in the legal industry. The firm has recently expanded its business and relocated to new CBD offices.

The Role

Job Summary

We are seeking an experienced and professional Receptionist to join our team. The successful candidate will be responsible for presenting a professional front-of-house face to all clients and other visitors, handling incoming telephone calls, managing appointments, and maintaining a clean and tidy reception area.

Main Responsibilities
  1. Handle incoming telephone calls and direct callers as necessary.
  2. Take accurate and detailed messages from incoming callers and pass them on as required by email.
  3. Make new appointments and manage existing appointments in calendars using Microsoft Outlook.
  4. Maintain a general overview of all lawyers' calendars.
  5. Answer queries and provide information to callers relating to the firm's services and fees.
  6. Meet and greet clients and others who visit the office.
  7. Ensure the reception desk is always attended.
  8. Provide clients with appropriate documentation and information during initial consultations.
  9. Receive monies from clients and hand them over to the Practice Manager with details.
  10. Process EFTPOS transactions for clients either in person or over the phone.
  11. Open files in FilePro as necessary.
  12. Maintain a clean and tidy reception area.
  13. Collect mail from the West Perth PO box and distribute it accordingly.
  14. Update FilePro contacts to ensure files have all necessary contacts and information.
  15. Support Paralegals as required.
  16. Maintain the dishwasher and assist with morning and end-of-day cleaning.
  17. Create weekly FIC and IC spreadsheets for the Practice Manager.
  18. Send the Family Court Daily Cause List email to the team each day.
  19. Assist with weekly legal training sessions.
  20. Scan and save solicitors' handwritten FIC and IC notes into FilePro.
  21. Assist with Coles kitchen orders and unpacking when delivered.
  22. Help with Ms Maud catering for staff functions and client mediations.
  23. Check upcoming hearings and incoming documents on the eCourts portal and advise Paralegals accordingly.

  • Punctuality.
  • Excellent customer service and communication skills.
  • A well-developed telephone manner.
  • Accurate word processing when required.
  • Accurate data entry in FilePro.
  • Excellent attention to detail.
Requirements
  1. Successful completion of Year 12 or equivalent.
  2. Well-groomed and well-spoken.
  3. Experience using Microsoft Suite, Outlook, and the internet.

We estimate this role to pay approximately $60,000 - $70,000 per annum based on the location and industry standards.
