This role offers a chance to work in a dynamic environment, overseeing the upkeep and maintenance of facilities.
Key Responsibilities:
- Develop strong relationships with site occupants, tenants, contractors, and clients through professional communication and courteous service.
- Effectively manage all aspects of building maintenance, cleaning, and client service requests, ensuring timely resolution and satisfaction.
- Prioritize the standard of care for all physical facilities, emphasizing user experience, comfort, occupant safety, and business continuity.
- Manage client service requests and communication, ensuring accurate processing and completion within established deadlines.
- Support project managers on construction and move projects, including coordinating freight elevator scheduling, construction cleaning, and file clean-outs.
- Collaborate to resolve issues affecting both the building and tenant, promoting effective problem-solving and issue resolution.
- Conduct regular facility inspections, identify discrepancies, and coordinate repairs to maintain optimal facility condition.
- Contribute to major fiscal activities, including budget preparation, financial planning, and variance analysis, providing valuable insights and recommendations.
- Ensure accurate and timely payment of accounts payable, including coding, verification of accuracy, approval, and forwarding for payment.
- Submit monthly reports detailing site metrics, project accomplishments, and open issues, facilitating informed decision-making and strategic planning.
Required Skills and Qualifications:
- Bachelor's degree in business administration, facilities management, or engineering is preferred; extended real estate experience without a Bachelor's degree is also acceptable.
- Minimum three years related real estate/facilities work experience, with supervisory experience strongly preferred.
- P&L responsibility and budgetary experience are essential.
- SUCCESSFULLY COMPLETE THE PROPERTY MANAGEMENT TRAINING PROGRAM AND ENGINEERING TRAINING PROGRAM.
- Excellent interpersonal skills, with ability to interact with employees, visitors, and contractors effectively.
- Maintain composure in emergencies and unexpected situations.
- Familiarity with general ESG concepts (e.g., carbon, net zero) and environmental certifications and ratings (LEED, Green Star, Nabers).
- Strong writing and communication skills, with ability to compose business letters, expositions, summaries, and reports using proper format, punctuation, grammar, diction, and style.
- Confident public speaking skills, with ability to present ideas and information to various audiences.
- Demonstrate initiative, customer service orientation, and a cooperative working atmosphere among staff.
- Analyze and interpret data to draw conclusions and solve problems, with proficiency in Microsoft Office software.
- Work in an indoor environment approximately 60% of the time and outdoors 40% of the time, with occasional need to perform physical inspections involving climbing stairs, ladders, or accessing restrictive openings.
- Ability to lift up to 25lbs.
