Ward Clerk Role

The Ward Clerk plays a vital role in hospital administration, delivering exceptional patient care and support.

Job Summary:

This position requires a highly organized individual with excellent communication skills to work effectively as part of the ward team. The successful candidate will provide administrative support, ensure efficient patient care, and contribute to a positive working environment.

Key Responsibilities:

  • Provide exceptional customer service to patients and families, ensuring their comfort during hospital stays.
  • Collaborate with the administration team, ward nursing staff, and Nurse Unit Managers to achieve seamless patient care.
  • Prepare patient files, appointment lists, and coordinate with other ward clerks to obtain necessary information.
  • Compile, collate, and file medical records accurately and efficiently.
  • Offer clerical support to the clinical team and liaise with allied health professionals, ward staff, and hospital departments to facilitate patient treatments, discharges, or transfers.
  • Complete various administrative tasks, such as data entry, switchboard duties, front desk operations, and medical record management, as required.

Essential Criteria:

  • Previous experience in healthcare administration, preferably in a patient-facing role.
  • Proven administration and customer service experience, with a high level of attention to detail.
  • Experience handling confidential information or patient files, with a strong focus on maintaining confidentiality.
  • Ability to work varied shifts, including flexible hours.
  • Valid Authority to Work in Australia and a National Police Certificate for Employment.
  • Excellent interpersonal and communication skills, with a strong ability to build relationships with colleagues and patients.
  • Highly developed organizational skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Strong attention to detail and accuracy in all aspects of work.
  • Proficiency in MS Office (Outlook, Word, and Excel) and ability to learn new software quickly.
  • Capacity to work independently and as part of a diverse team, with a strong commitment to collaboration and teamwork.

Desirable Criteria:

  • Knowledge of medical terminology and an understanding of healthcare systems.
  • Experience with WebPAS or similar patient administration systems.
  • Previous experience in a hospital ward environment, with a strong understanding of the challenges and opportunities within this setting.
  • Diploma or TAFE qualification in Administration, Business Management, or a related field (or currently studying towards one).
