About the Opportunity

We’re seeking a proactive, organised, and collaborative Executive Assistant to support our Executive General Manager People Safety & Culture, as well as contribute to the effective operation of our broader Executive Leadership Team (ELT). This is more than a traditional EA role – it’s an opportunity to partner with senior leaders, manage competing priorities, and help shape a smooth, people-focused and high-performing working environment.

You’ll be involved in a wide range of work – from coordinating meetings and leadership events, to supporting onboarding for new starters, managing travel and calendars, and ensuring our Melbourne office is running efficiently and safely. Your ability to communicate clearly, maintain confidentiality, and approach tasks with a problem-solving mindset will make you a key part of our team’s success.

Key Responsibilities

- Provide professional, confidential executive support to the Executive General Manager People Safety and Culture and selected Executive Leadership Team members.
- Manage complex diaries, appointments, and travel plans (local, interstate and international).
- Prepare and coordinate documents, including Business Performance Reports (BPRs), Board and Committee papers, and leadership updates.
- Liaise with a wide range of internal and external stakeholders in a respectful and inclusive manner.
- Coordinate events such as team development days, leadership forums, and functional meetings.
- Process expenses, purchase orders, invoices, and support timesheet accuracy.
- Support document approvals, onboarding activities, and administrative needs across the PSCTP team.
- Assist with initiatives relating to office safety, employee experience, and other events in the office.
- Partner with other Executive Assistants to ensure consistency, collaboration, and shared success across the organisation.
- Maintain secure, accurate document management and support project work as needed.

About You

- Experience providing executive-level support, ideally to senior or C-suite leaders
- Strong organisational skills and attention to detail, with the ability to adapt and prioritise in a fast-paced environment
- Excellent communication and interpersonal skills, with a commitment to respectful, inclusive engagement
- A solutions-focused mindset, with initiative and the ability to handle confidential matters with professionalism
- Experience with calendar management, travel coordination, and preparation of reports or meeting papers
- Confidence working with technology, including Microsoft Office and document systems.
- A collaborative approach – you’re someone who enjoys supporting others and being part of a team
- A qualification in business administration or a related field is welcomed, but not essential
