Overview
Rosters & Operations Coordinator — Step into the role of a detail-oriented and proactive Rosters & Operations Coordinator to join this growing hospital in the West. This specialised role supports clinical leaders and divisions by delivering end-to-end administration for their junior medical workforce, including recruitment, rostering, payroll, rotation planning, and leave management. The position plays a vital role in ensuring safe and stable staffing across the sites while supporting the wellbeing of junior medical staff and meeting clinical service needs.
Key responsibilities
- Administer and manage rosters across all sites and external rotations.
- Prepare, distribute, and maintain rosters, ensuring leave coverage, compliance with Award/Enterprise Agreements, and accurate communication of changes.
- Process payroll-related tasks including timesheets, out-of-hours claims, and variations.
- Support recruitment and onboarding of junior medical staff, in collaboration with the Recruitment and Medical Education Units.
- Partner with Heads of Units, Clinical Service Directors, and training leads to design and implement rosters that balance clinical needs, safe working hours, and educational requirements.
- Monitor and report on junior medical staff work practices to ensure health, wellbeing, and compliance.
- Contribute to continuous improvement initiatives, policy development, and service excellence within the Medical Workforce Unit.
- Participate in an after-hours on-call roster and provide cross-cover support as required.
Key requirements
- Excellent computer literacy with advanced MS Office skills (Excel, PowerPoint, Word).
- Strong written and verbal communication skills with keen attention to detail.
- Demonstrated experience in roster design and implementation, including interpreting Award/Enterprise Agreement conditions.
- Experience with electronic rostering and timesheet systems (e.g., RosterOn).
- Effective time management and problem-solving skills, with the ability to manage competing priorities.
- Strong interpersonal and customer service skills to build relationships with diverse stakeholders.
- Positive, professional and “can-do” attitude with a team-focused approach.
- Flexibility to work varied hours, including weekends, as required.
- Must have full Work Rights and willing to undergo an Australian Police Check
Desirable
- Qualification in HR, Business, or a related field.
- Previous experience in health/medical workforce recruitment or administration.
- Understanding of medical staffing levels, training pathways, and enterprise agreements.
