Details: We are seeking a highly motivated and experienced professional to lead project governance and secretariat functions within the Delivery - Places and Spaces Group of Infrastructure Canberra.

The Director, Project Governance and Board Secretariat plays a critical role in overseeing project governance and administration functions within the Canberra Aquatic Centre project. This role ensures the quality and consistency of project documentation, facilitates effective governance processes, and leads coordination across internal teams and government stakeholders. The role also manages secretariat responsibilities for key governance forums.

Primary responsibilities of the role will include:

- Provide quality control of documents and monitor all papers being tabled in governance meetings, for correct and consistent production.

- Play a lead role within the project team in managing the administration of all project-related documentation, ensuring consistency in the approach to project documentation, capture, storage and retrieval across the project team, design team and project contractors.

- Draft high-quality documents and coordinate the Canberra Aquatic Pool Team’s input into papers for the Program Board and associated sub-committees, as well as various forms of government reporting (e.g. Question Time Briefs; Questions on Notice, ministerial briefs, correspondence, etc).

- Provide secretariat support for the monthly Program Board meetings, including coordinating meeting logistics, collaborating with project teams on submission papers ensuring the highest quality of the papers, preparing agendas and minutes, and managing the action register.

- Be the primary liaison point between the Canberra Aquatic Centre Team and wider iCBR teams (e.g. Finance, Communications and Engagement, Ministerial and Cabinet, Executive Group Manager’s Office).

- Play a lead role within the project in managing key relationships with ACT Government stakeholders.

- Lead the creation and appropriate management of governance documents in accordance with the Territory Records Act 2002.

- Operate with sensitivity and compliance to the Territory’s principles and ethical standards, with special regard to probity, transparency and honesty.

- Contribute to additional responsibilities as needed to support team and organisational objectives.

- Adhere to and promote an awareness of the principles of the Respect Equity and Diversity (RED) Framework, Work Health and Safety, the ACT Public Service Values and Signature Behaviours and workforce diversity to maintain a safe, healthy and fair workplace environment.

The Director, Project Governance and Board Secretariat will report to the Project Director. The position may be responsible for supervision of personnel, and may be required to attend out of hours requests to meet organisational demands.

Eligibility/Other requirements:

- Demonstrated working knowledge of government business activities in an infrastructure project environment is highly desirable and will be an advantage.

- Familiarity with Objective, iCBR records management system, and SharePoint will be an advantage.

- Relevant tertiary qualifications (or equivalent experience) in Governance, Management, Project Management will be an advantage.

Notes: This is a temporary position available from 03 November 2025 until 02 April 2026 with the possibility of extension up to 12 months and/or permanency.

A Merit Pool will be established from this selection process and will be used to fill vacancies over the next 12 months. Selection may be based on application and referee reports only.

This position will be moving to a new workplace designed for activity-based working (ABW). Under ABW arrangements, officers will not have a designated workstation/desk.

Opportunities for flexible working options could include hybrid working, being a combination of working from home, designated office based and FlexiSpace working locations across the ACT, flexible start, and finish times.
