The Opportunity

We currently have an opportunity for a receptionist / office services assistant to join our team on a 12-month fixed term contract basis. Based in Chatswood and reporting directly to our office services manager, you will be responsible for providing a high level of customer service and support to the business (employees, clients, and visitors) in relation to all office services functions.

In addition to working on reception, you will be assisting with facilities and office management and assisting legal secretaries with general administrative duties.

Your key responsibilities will include:

- Front office reception and answering and managing the switchboard in a professional and timely manner
- Meet and greet clients and visitors and maintaining the reception area
- Ensuring meeting rooms and kitchens are kept at a professional standard
- Assist with preparing and setting up conference rooms
- Assist in coordinating internal meetings and client events, including catering
- Book and track all couriers
- Manage mail services, including distribution and collection of incoming and internal mail
- Monitoring and replenish client kitchens
- Ordering stationery and kitchen supplies
- Setting up for end of month drinks
- Administrative tasks including photocopying, faxing, typing and archiving

Skills and Experience

To be successful in this role you will have:

- 2 years reception and client service experience dealing with professional clients in a corporate environment
- Strong customer service skills with the ability to remain calm at all times
- Enthusiastic, driven and displays initiative
- Ability to develop relationships with internal and external clients
- Intermediate to advanced level skills in Microsoft Office applications
- Excellent time management with the ability to prioritise tasks
- A charismatic and energetic personality
