City of Melbourne, Australia Childrens Ground Full time

Executive Assistant to the CEO / Administration Manager

About Children's Ground

Children’s Ground is a First Nations organisation. The Children’s Ground Approach is designed and delivered through the leadership of First Nations people. We are committed to systems change to ensure dignity, justice and equity for all children and families. Our work focuses on national reform as well as evidencing a new way of working.

The Children’s Ground Approach is a whole of community, whole of life approach. We privilege First Nations knowledge systems and practice. Over the course of a generation, led by local expertise, we create and deliver an integrated system that is centred on learning, development and wellbeing that responds to the child and their family through the key transition points from pre-birth to young adulthood.

Our approach recognises the cultural, social, and economic strength of our communities. We build on this over a generation to ensure a future for our children and grandchildren that gives them freedom, opportunity and rights to their culture and identity.

Children’s Ground operates in Central Australia and across the Top End, with support provided by a Melbourne-based Shared Services team.

We are seeking a dynamic and highly organised Executive Assistant to the CEO to play a pivotal role in supporting our leadership and operations. This is a unique opportunity to contribute to a bold and innovative organisation committed to national reform and community-led excellence.

This is an Identified Position open to Aboriginal and/or Torres Strait Islander applicants only, in line with Children’s Ground’s commitment to First Nations leadership and self-determination.

About the role

As a First Nations Identified Executive Assistant / Administration Manager, you will provide high-level support to the CEO, ensuring their time and priorities are managed effectively. You’ll be the key liaison between the CEO, Directors, staff, Board members, and external partners—facilitating smooth communication and coordination across the organisation.

This role requires exceptional people skills, sound judgement, and the ability to thrive in a fast-paced environment with minimal direction. You’ll be proactive, resourceful, and a confident communicator with a strong sense of discretion and professionalism.

Key Responsibilities

- Executive Support: Manage the CEO’s calendar, travel, and engagements; prepare briefing materials; coordinate meetings and retreats; and act as a trusted point of contact.
- Board & Governance Support: Liaise with Board members and the Chair; manage logistics for meetings and events; prepare and distribute Board papers; and support the Board Secretary.
- Organisational Administration: Lead and oversee the administration team; develop and implement policies; manage IT systems and consultants; support regional admin staff; and coordinate staff travel and movements.
- Project Coordination: Support cross-organisational projects and initiatives; monitor progress; and ensure effective communication and follow-through.

About you

This is a Identified Position open to Aboriginal and/or Torres Strait Islander applicants only, in line with Children’s Ground’s commitment to First Nations leadership and self-determination.

You’ll bring:

- Proven experience in executive support or senior administration roles
- Excellent written and verbal communication skills
- Strong organisational and time management abilities
- High emotional intelligence and interpersonal skills
- Confidence in managing confidential information and complex priorities
- Experience in governance support and working with Boards (desirable)
- Understanding of or commitment to First Nations self-determination and cultural integrity

At Children’s Ground, you’ll be part of a passionate team working toward long-term, systemic change. You’ll work in a culturally rich and respectful environment, where relationships and community are at the heart of everything we do.
