Overview

The key duties of the position include: The Executive Officer provides management and administrative support to the Executive Office and Division Head by overseeing divisional activities and advising the executive. This includes coordinating reporting, briefings, and communications, and liaising with the wider Division. The role enhances strategic coordination, provides timely advice on risks and priorities, and facilitates communication across branches and with internal and external stakeholders.

Responsibilities

- Interpreting legislation and policy to provide accurate and relevant advice

- Drafting and reviewing high-level documents, including briefs, presentations, proposals, and reports to a high standard, working closely with relevant subject matter experts across the Division

- Ensuring the Division Head is prepared and briefed for their engagements, including providing Board and Committee support

- Overseeing business process governance, operating budgets, records management, and audit support

- Collating, analysing, and reporting on business data (e.g. financial, workforce metrics)

- Leading workforce and establishment planning, including capacity management

- Managing HR processes and providing advice, including WHS and security compliance

- Leading and developing team members to achieve business outcomes

- Work collaboratively, build and sustain effective relationships, motivate and provide constructive feedback to the team and work area

- Assist the Chief of Staff with the daily operations of the Executive Office and provide any other support as required
