Contracts Administrator – Refurbishment Projects (6-Month Max Term Contract, Brisbane)
Brisbane QLD, Australia
About Us
At Levande, we’re reimagining retirement living across Australia.
Our purpose is simple: to enrich lives and communities by creating places where older Australians can live well every day. From new developments to ongoing refurbishments, every project we deliver helps residents feel safe, connected, and supported.
The Opportunity
We’re seeking a skilled Contracts Administrator to join our National Refurbishment Division on a 6-month max term contract, based in Brisbane.
You’ll play a critical role in supporting the delivery of property refurbishments within our Vacate to Occupy (V2O) program. Working closely with Project Managers, Village Managers, and contractors, you’ll manage the end-to-end contract administration process, ensuring every refurbishment is delivered to scope, budget, and compliance standards.
This role is ideal for a commercially minded administrator or estimator who enjoys balancing detail with delivery and thrives in a fast-paced, collaborative environment.
Key Responsibilities
- Contract Administration & Procurement
- Prepare, issue, and evaluate scopes of work, RFQs, and tender documentation.
- Negotiate terms, assess quotes, and recommend preferred suppliers.
- Administer contracts through to close-out, including variations, extensions, and progress claims.
- Ensure all works comply with Levande’s procurement, insurance, and WHS requirements.
- Track expenditure, budgets, and RNRI spend across multiple refurbishment projects.
- Support accurate cash flow forecasting and reporting.
- Assist in capex planning and cost analysis for upcoming refurbishment programs.
- Project Coordination
- Liaise with internal and external stakeholders to support smooth project delivery.
- Schedule and coordinate site visits, inspections, and handovers.
- Maintain project documentation and reporting accuracy within internal systems.
- Contribute to process optimisation within refurbishment and contracts workflows.
- Provide feedback on contractor performance and supplier relationships.
- Champion compliance, sustainability, and HSE best practice across all refurbishment activities.
About You
- Demonstrated experience in contracts administration, procurement, refurbishment, or construction project support.
- Strong commercial and financial acumen with the ability to interpret and manage contracts.
- Excellent stakeholder engagement skills with both internal teams and contractors.
- Highly organised, with strong attention to detail and the ability to manage competing priorities.
- Proficient in Microsoft Office and comfortable using internal systems for reporting and contract tracking.
- Qualifications in construction, project management, or a related field (desirable).
Why Join Levande?
- Make a tangible impact on the quality and comfort of residents’ homes.
- Join a supportive, values-driven team working across national refurbishment programs.
- Gain exposure to both project delivery and commercial contract management.
- 6-month max term contract, with potential for extension based on business needs.
