Your opportunity
As an Accounts Payable Officer reporting to the Finance Manager- Business Services, you will play a key role in ensuring accurate and timely processing of supplier invoices and employee claims. You will be the go- to person for validating payments, reconciling accounts, supporting system upgrades and driving process improvements within a collaborative finance team. Working side by side with people who go the extra mile, you’ll also love the feeling of helping those who need us. Here’s how you’ll do it:
- Ensure supplier invoices and employee claims are accurate, properly authorized, GST compliant, and coded correctly before timely payment, including fund disbursement duties once payments are authorised.
- Manage employee reimbursements, mileage claims, and credit card expenses in line with Hearing Australia’s travel and expense policies, while supporting staff with related queries.
- Liaise with suppliers to resolve queries, apply discounts, and ensure credit notes are properly formatted, matched, and processed promptly.
- Ensure documentation meets audit standards, proactively manage risk, and escrow any non-compliant or suspicious activity.
- Reconcile creditor statements, investigate discrepancies, prepare accruals, and act as a backup to the Finance Manager during month-end processes.
- Champion the D365 system and related tools (Ex flow, FinOps), support testing during upgrades, and identify opportunities to streamline invoicing and payment processes.
What you’ll bring
We believe the successful candidate will have a demonstrated high level of interpersonal, verbal and written communication skills. You’ll bring:
- Accounting/ Finance qualification at certificate level or higher desirable
- Excellent accounts payable knowledge
- Experience with large ERP systems (i.e. D365)
- Experience in automation/ invoice capture software i.e. EXFLOW
- Ability to perform supplier statement reconciliation
- Eye for detail, accurate and reliable, with excellent communication skills
- Independently apply knowledge and experience to resolving problems in any of the areas of responsibility
- Set priorities in a demanding environment where there are conflicting requirements
