SUMMARY OF THE ROLE Our administrative team is essential to the smooth operation of our business. Based in Port Hedland, you will play a key role in supporting branch operations through effective organisation, implementation, and execution of administrative functions. This is an exciting opportunity to contribute to the success of a global leader in heavy lifting and transport solutions. WHAT YOU’LL BE DOING - Provide high-level administrative support to the MSA Operations Manager, including scheduling, correspondence, and daily coordination. - Manage site access, inductions, and compliance documentation for personnel and equipment. - Collate and verify timesheets and activity reports for accurate invoicing. - Assist with purchase orders, variations, and other commercial documentation. - Maintain accurate WBS and Work Order tracking in client systems (e.g. SPEAR, Assignar). - Prepare and submit professional client correspondence and documentation within required deadlines. - Coordinate communication between workshop, logistics, and operations teams to ensure project efficiency. - Maintain organised filing systems for all operational records, including safety documentation and permits. - Provide administrative support for shutdown planning, mobilisation, and demobilisation. - Act as the main contact for operational staff regarding leave, uniforms, and general admin queries. - Process and track leave applications in line with company policies. - Support onboarding and offboarding processes, ensuring all documentation and compliance requirements are met. WHAT YOU’LL NEED - Exceptional organisational and time management skills in a fast‑paced environment. - Strong attention to detail and accuracy in documentation and data entry. - Excellent communication and interpersonal skills, with confidence liaising across all levels. - Proficient in Microsoft Office Suite and operational systems such as Assignar, SPEAR, or SAP.
