ROLE IN A NUTSHELL

We are seeking a detail-oriented Group Leasing Paralegal to oversee the lease administration function across all Brand Collective subsidiaries. In this role, you will ensure that lease documentation, including leases, agreements for lease, assignments, variations, and licenses, accurately reflects agreed commercial terms and conforms to standard landlord templates where applicable. Where no standard form exists, you will review and negotiate terms in line with company policies and relevant legislation. You will also be responsible for maintaining the integrity of our property database (Lease Eagle) and overseeing monthly rent payments, ensuring smooth operations and compliance across our property portfolio.

WHAT YOU'LL BE DOING

- Managing Agreement to Lease and Lease review, negotiation and documentation process
- Preparing lease summaries and arranging director execution of documentation
- Ensuring the property database (Lease Eagle) is accurately maintained
- The provision of administrative support for all leasing issues and requirements
- Managing all Lease Administration related communications
- Preparing and distribute ad-hoc reports (e.g., lease renewal, Lease Register) via Lease Eagle
- Marking-up ITL/Heads of Agreement documents and request amendments where necessary
- Monitoring progress of leasing matters and proactively follow up with customers as required to ensure all pre-trade requirements are met in a timely manner (i.e., bank guarantees and certificates of currency of insurance)
- Ensuring fitout contributions are invoiced and received in a timely manner
- Co-ordinating advance rent and insurances for new stores and ensuring the master insurance register is accurately maintained.
- Uploading and reporting monthly sales figures
- Reviewing and approving the monthly rent roll
- Assisting with preparing annual property budgets

ABOUT YOU

The ideal candidate will come with:

- Minimum five years' experience in lease administration and retail property teams
- Relevant tertiary qualifications in law or contract administration. A paralegal background would be highly desired.
- Experience using Lease Eagle or other lease management tools
- Strong understanding of retail property legislation and retail lease documentation
- Ability to prioritise and multi-task in a demanding environment
- Ability to influence others in a positive way
