**As the Executive Coordinator, your key responsibilities will include**:
- Proactively manage and co-ordinate the day-to-day business of the General Manager and Branch by completing the following:
- Document management for the General Manager
- Meeting preparation (includes actioning requests for material)
- Follow-up actions arising from meetings
- General financial and travel arrangements (local, interstate, overseas), including invoices
- Oversee, track and coordinate the branch learning and development process (including payment of training/conferences and handling of the branch budget allocation)
- Coordinate and distribute monthly Toolbox Talks for the Office of the General Manager
- Organising events for the branch including quarterly forums, activities and workshops
- Communication and liaison with key clients and stakeholders including the Minister's office, senior departmental management, business partners and members of the public
- Managing the on-boarding, off-boarding and local induction of new employees within the branch (where required)
- Provide a range of project or business support activities and tasks, for example: conduct and compile research and analysis within specified parameters; organise meetings or conferences and compile related papers, agendas or PowerPoint presentations; develop and maintain databases; produce or update project or activity progress reports; update records on systems such as RM8 and so on.
- Liaise, consult and maintain effective relationships with team members, and internal and external clients and stakeholders.
- Assist the Principal Advisor with coordinating incoming departmental requests and collating responses in a timely manner.
- Contribute to the forward planning of the division by regularly reviewing future diary, meeting and travel demands of the General Manager, and identify possible issues that may impact on the division.
- Carefully analyse enquiries or requests from internal and external stakeholders, and research, determine and take appropriate action on behalf of the General Manager.
