The Executive Assistant and People Administrator role based in our Sydney office will be the glue that makes Orbus APAC an amazing place to work and be A massively varied role supporting the team (including leaders) across an array of activities, resulting in a smooth and beautifully running Sydney Office.

Tasks will be varied ranging from managing calendars, office management, booking travel, general admin support for the Managing Director & Leadership team, as well as the opportunity to get involved in HR, People, and marketing activities.

**Core Responsibilities**:

- All Office management to our small (but perfectly formed..) office in Sydney, supporting making the office a great place to work and be.
- Calendar management.
- Coordinating and supporting APAC Leadership team with meetings and travel.
- Basic finance support, including raising POs, supporting invoicing and liaising with Finance team in the UK.
- Helping to assemble various reports from senior stakeholders.
- Continuing to build team culture through the organisation of intermittent team social activities.
- Liaising with Legal Team for signatures required for clients documents (e.g., Non-Disclosure Agreements) and follow up/monitor signatories until completion.
- Administering benefits for APAC team.
- Own onboarding of Newbeez.
- Supporting activities for the People Team relating to the APAC team (including administrative support for, off-boarding, return of equipment and completing forms etc).
- Supporting our marketing team with logistics for local and global events, plus actioning any office branding requirements.
- Being an advocate for our values as a values champion.

**Requirements**:

- Proven experience in executive support (administrative operations, non-technical project management, corporate event planning or office manager).
- Experience supporting a team in a high-paced, changing work environment.
- Ability to prioritise multiple actions/tasks and manage order/time efficiently.
- Must be able to maintain the highest level of confidentiality.
- Ability to take initiative and build excellent, productive relationships.
- Excellent communication skills (written and verbal).
- Must be able to create order out of chaos.
- Must be able to thrive in a deadline orientated environment.
- Maintain a positive rapport and effective customer service approach with customers, colleagues and co-workers.
- Ability to listen to direction but also be proactive and work independently.
