- To provide administrative support to the Division and in particular the Planning, Building and Health Departments in the effective day to day management of City information associated with property settlement enquiries.

**Key accountabilities**:

- Register and control inward and outward correspondence and data in Pathways including but not limited to;
- complete customer requests on property settlement enquiries
- undertake document searches
- produce reports and statistics as requested
- maintain letter templates
- maintain property zoning information
- Assist in the updating and review of the Division’s Business Management System input and compliance, including but not limited to, Work Instructions, Process Maps, Fact Sheets and Corporate Documents.
- Receive public and general enquiries, taking appropriate action in line with established policies and practices with the aim of maintaining a strong customer focused service.
- Undertake research, prepare reports, memos, correspondence and other associated tasks as required for the Director Development and Communities.
- Provide backup and support for the Divisional administration staff during busy periods and during periods of leave as required, to ensure operational objectives are achieved.
- Comply with Council’s Equal Opportunity, Discrimination, Harassment and Bullying Policies at all times.
- Follow and comply with all Work, Health & Safety and Environment policies and procedures to ensure personal safety and the safety of others is maintained at all times, including the reporting of unsafe practices or hazards to supervisors or WHS Representatives, whilst protecting and sustaining the environment.
- Actively seek and report on methods of improving systems of work, policies and practices, to ensure the continuous improvement of the City’s Business Management System.
- Exercise appropriate authority whilst acting in the best interests of the City, its Customers and the Community, meeting legislative and operational requirements.
- Other duties as directed by the Director Development & Communities, within the scope and level of this position.

**Requirements of the Job**:

- Previous experience in Pathways **_(desirable)_****:

- Previous relevant experience in Local Government or the public sector generally working within a similar area **_(desirable)_****:

- Good interpersonal and conflict resolution skills with the ability to communicate with and motivate a wide range of people and groups to ensure delivery of a high level of customer service.
- Ability to work under pressure within a multi-disciplinary team both as a member of a team and independently with mínimal supervision.
- Good decision making and problem-solving skills with the ability to respond appropriately and show initiative when required.
- Ability to research and write letters, reports and submissions particularly in relation to technical report writing.
- Possession of, or the ability to acquire, a satisfactory National Police Clearance Certificate (dated within the last twelve months).
