Our clients are seeking a highly organized and detail-oriented Project Administrator to join their team on a major construction project.

As a Project Administrator, you will play a crucial role in supporting the successful execution of the project and you will be responsible for providing administrative support to the Commercial Manager & project management team, ensuring smooth operations and efficient project delivery.

**Duties**:

- Administrative Support: Provide comprehensive administrative assistance to the project management team, including document preparation, filing, and organization, scheduling meetings, coordinating travel arrangements, and maintaining project calendars.
- Document Control: Manage the project's document control system, including the creation, distribution, tracking, and filing of project-related documents, such as contracts, drawings, specifications, permits, and correspondence. Ensure compliance with document control procedures and maintain accurate records.
- Communication and Coordination: Serve as a central point of contact for project-related inquiries, both internally and externally. Facilitate effective communication between project team members, stakeholders, clients, subcontractors, and suppliers. Assist in coordinating meetings, preparing agendas, and recording minutes.
- Procurement Support: Assist in the procurement process by obtaining quotes, preparing purchase orders, tracking deliveries, and maintaining accurate records of materials, equipment, and services procured for the project.
- Financial Administration: Support project budget management by assisting in the tracking and reporting of project expenditures, preparing invoices, and processing payment requests. Collaborate with the finance team to ensure accurate and timely financial documentation.
- Health and Safety Compliance: Monitor and promote adherence to health and safety policies and procedures on the construction site. Assist in the preparation of safety documentation, incident reports, and maintaining safety records.
- Project Reporting: Assist in the preparation of project progress reports, presentations, and other project-related documentation. Collect and compile data from various sources to provide accurate and timely updates on project status and key performance indicators.

**Requirements**:

- Education and Experience: Hold/obtaining bachelor’s degree or diploma in construction management, project management, business administration, or a related field** is highly desirable.**:

- Previous experience in a project administration or project support role within the construction industry **is highly desirable.**:

- Organizational Skills: Exceptional organizational and time management skills with the ability to prioritize tasks, handle multiple responsibilities simultaneously, and meet deadlines in a fast-paced environment.
- Communication Skills: Strong written and verbal communication skills to effectively interact with diverse stakeholders and team members. Ability to prepare clear and concise reports, presentations, and other project-related documentation.
- Attention to Detail: Meticulous attention to detail and accuracy in handling project documentation, data entry, and record-keeping.
- Software Proficiency: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and project management software. Experience with document control systems and enterprise resource planning (ERP) software is an advantage.
- Team Player: Ability to collaborate effectively within a multidisciplinary team, build positive working relationships, and contribute to a supportive and inclusive team environment.
- Problem-Solving Skills: Strong analytical and problem-solving skills with the ability to identify issues, propose solutions, and make sound decisions.
