An exciting opportunity is now available for a highly organised and experienced Board Administrator/Executive Assistant to join the Catholic Healthcare (CHL) Company Secretariat Department. In this role, you will provide company secretariat support to the Company Secretary, Catholic Healthcare Board and Committees alike.
Working closely with both the Co Sec & Assistant Co Sec, your role will be key to ensuring that the CHL Board, subsidiary & committee meetings are run effectively and efficiently. You will play an integral part in contributing to the successful outcomes of a busy but highly collaborative and supportive team
Your proactive approach together with your well developed interpersonal skills and ability to confidently communicate in a professional, personable and ethical manor will aid in your success and assist CHL to meet its compliance obligations and maintain its outstanding reputation.
Your Days will include;
- Managing & administering CHL’s electronic Board Paper solution including the uploading of all Board and Committee packs in line with agreed publication dates
- Managing meeting logistics including invitations to Board and Committee meetings, form of attendance registers for each meeting
- Function/Event management from sourcing venue to execution - including technology & room set up
- Proactive management for offsite Director meetings, locations and logistics
- Preparing initial drafts of Board and Committee agendas (as directed)
- Proactive key liaison to all business units to ensure the timely receipt of board papers
- Assistance with finalising actions post Board and Committee meetings
- Preparation of ghost minutes for Board and Committee minutes ahead of the meeting
- General office support including uploading of invoices for approval & monthly reconciliations
- Diary management, drafting & managing correspondence & general related administrative duties
The ideal applicant has a high level of personal integrity, is a born organiser with strong attention to detail & the experience & ability to anticipate needs.
Additionally, you will have;
- Min 3-5 years demonstrated experience in a similar Board Administrator/ Executive Assistant position
- Experience managing calendars & logistics for Executives or Directors - Board & Committee
- Event management experience & ability to manage related logistics for key company events
- Advanced skills in MS Office Suite, including Teams, SharePoint & Outlook & be Tech Savvy
- Must be able to provide evidence for Covid19 immunisation x 3
