The purpose of our Administration Co-ordinator role is to provide high level administrative support and coordination to our HomeCare team, including Program Managers, to ensure efficient operations of all processes, systems and services.

This is a 6 month fixed-term full-time role Mon-Fri 9am-5pm at our new offices located in Burnley VIC.

**You will also be responsible for**:

- Administration duties at a high and fast-paced level
- Managing timelines and working to project deadlines
- High level customer service (internal and external)
- Recruitment, onboarding and inducting new employees
- Working with sensitive and confidential information
- Managing, reviewing, developing and maintaining office systems and procedures
- General administrative support
- Co-ordinating meeting bookings
- Preparing agendas and taking meeting notes
- Scanning and saving documentation
- Co-ordinating mail outs
- Document preparation
- Maintenance of office and staff registers
- Monitoring stock of staff equipment
- Arranging catering
- Making up client information packs
- Answer incoming calls, handling enquiries
- Maintaining databases, including the purchaser/provider database
- Ensure invoices are reconciled and processed in an efficient timeframe
- Ensuring compliance within our business unit and keeping meticulous records and employee files

**Essential**:

- Administration experience and superior organizational skills
- Ability to display initiative and work independently
- Exceptional time-management skills
- Self-motivation
- Experience or exposure to recruitment practices including interviewing and onboarding
- Demonstrated commitment to customer service and customer care
- Enthusiasm and commitment; practicality and common sense
- High level of written and verbal communication skills
- Ability to maintain confidentiality in all matters
- Covid vaccinations 3 doses, current flu vaccination & police check

**Desirable**
- Experience in aged care industry advantageous
- Experience managing an office budget
