About the role

This is a great opportunity for a high calibre Executive Assistant with experience providing support to a small but busy team. It would suit someone who is keen to understand all aspects of a values-based, not-for-profit membership organisation, while working on diverse tasks and engaging with a variety of stakeholders.

To succeed in this role, you will have extensive experience as an Executive Assistant or similar including providing board support, excellent organisational and time management skills, with the ability to prioritise tasks and meet deadlines. You will need strong written and verbal communication skills, in particular the ability to draft and edit high quality correspondence and reports, excellent attention to detail, adaptable interpersonal skills and advanced proficiency in Microsoft Office. This is a diverse, hands-on role which requires professionalism, interpersonal skills, energy, and attention to detail.

Key responsibilities:

- Provide high level, confidential, administrative support to the Executive Director;
- Screen telephone calls and mail;
- Field enquiries and requests and escalating urgent matters for the Executive Director’s attention;
- Produce correspondence, presentations, and reports on behalf of the Executive Director;
- Provide documentation and records management and filing for the Executive Director;
- Coordinate timelines, meetings, documentation and internal resources for the Board and Board sub-committees on behalf of the Executive Director;
- Coordinate meetings, functions, agendas, and room bookings;
- Maintain administrative processes and templates including agendas, minutes, and action registers, and provide secretarial support where required;
- Monitor work action plans, following up outstanding actions and reporting progress to deliver outcome required;
- Format and word processing of reports, proposals, letters, and other documents; and
- Other duties as required.

Key selection criteria
- Minimum of 3 years’ experience as an Executive Assistant;
- Excellent communication skills, both written and verbal with exceptional attention to detail;
- Advanced skills in MS Office (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat;
- Ability and willingness to learn new processes, databases, and software as required;
- Professionalism, respect and integrity toward staff, Board, members, partners, clients and other stakeholders;
- A practical yet flexible and adaptable approach with the ability to deal with changing priorities and tight/competing deadlines;
- Proactive with the ability to troubleshoot/resolve issues as they arise; and
- Demonstrated ability to work collaboratively and as part of a team.
