Job Description (Roles and Responsibilities)

**Main purpose of job**:
We are looking for a Corporate Services Assistant to support the British Consulate General in Sydney.

This is an interesting and varied role that will involve Ministerial and senior officials’ visits to Sydney. As the Consul-General represents His Majesty’s Government at commemorative events in New South Wales, there may be a further need to work on certain weekends, early starts, or late-night finishes.

We are a flexible employer who offers working from home to most of our staff. Due to the nature of this role the opportunity to work from home will be limited and ad-hoc. This role is an initial one year contract.

**Responsibilities**:
**Administration (70%)**:

- Conduct purchases for office expenditures, obtain receipts, and account for all expenditures.
- Opening and dispatch of diplomatic bags
- Liaise with the building management and facilities management providers, including raising work orders.
- Participate in crisis exercises and assist as required in responding to any crisis.
- Assist with maintenance contractor management.
- General event assistance, including set-up and clearing up for events held in the Consulate boardroom
- Maintain office inventory.
- Fire, health, safety, and security liaison (including with building management)
- ID pass issuing and programming
- Security/Health and Safety induction for new starters
- Other ad hoc duties, as required
- Security relief cover

**Logistic & transport management (30%)**:

- Provide safe and punctual driving services to the Consul General, Deputy Consul General, staff, and official visitors to appointments, functions, and airports during office hours and after hours as necessary.
- Be familiar with the best routes to and from destinations, and be prepared to alter routes when necessary.
- Facilitate airport pickups for VIP visitors and transportation during official VIP visits, and follow pre-agreed programmes.
- Official delivery, for example: correspondence to government authorities or organisations and assistance in processing various permits or payment documents for the bank, to name a few.
- Daily check of oil, water, brake fluid, battery, and tyres;
- Keep track of car registration renewals.
- Complete accurate vehicle record sheets for each vehicle. Sign out or return vehicle inspections when vehicles are driven by other staff.
- Maintain the official vehicles in clean condition, both inside and outside.
- Ensure vehicles are serviced on time and schedule vehicle servicing in consultation with the Security Manager.
- Ensure the safety of passengers and vehicles at all times when on duty.

Essential qualifications, skills and experience
- Able to multi-task and prioritise urgent work while ensuring that routine tasks are not overlooked.
- Ability to work independently as well as a member of a team.
- Ability to work flexible hours (including some evenings/weekends).
- Able to present a professional image.
- Positive attitude and a customer-focused approach
- Displays personal integrity, honesty, and discretion.
- Holds a current full clean driving licence.
- Have good knowledge in basic Microsoft office and computer skills.

**_This vacancy is advertised as a full-time, fixed-term role of 12 months to be based in Sydney._**

Salary is at AU$ 60,694 per annum (paid out monthly), plus 11% superannuation.
