**Madderns** is Adelaide’s leading Patent & Trade Mark Attorney firm providing specialist advice and assistance to high profile Australian and overseas clients in relation to intellectual property (IP) law including patents, trade marks, and designs.
We are currently seeking a part-time Administrative Assistant to perform complex data entry and processing tasks to assist our records and renewals team in Adelaide. **The Role**
Daily responsibilities may include:
- Importing and saving incoming electronic documents into our Document Management System (DMS);
- Reviewing and analysing incoming correspondence to identify and update electronic case records;
- Entering records and critical information in our IP database (Inprotech) and creating deadlines from official communications (data entry);
- Sending renewal reminders, sending correspondence, preparing invoices, paying official fees, and monitoring renewal deadlines;
- Updating Inprotech to satisfy policing requirements and deadlines;
- Performing other general administrative tasks for the team as requested.
**What We Are Seeking**
To be successful for this role, you will have previous experience in an administrative, information processing, records or data entry role. You will also have experience working in a corporate office environment, preferably within the IP sector, a legal services firm or a professional services firm. In addition, you will be able to demonstrate the following:
- Excellent computer and typing skills, including experience using Microsoft Office Applications (MS Outlook, Word and Excel);
- Proven ability to learn concepts, new systems and processes;
- Highly accurate data entry skills;
- Experience and confidence using electronic filing systems and document management systems or case management software;
- High level of attention to fine detail and accuracy;
- Proven ability to exercise judgement, set priorities, and balance work tasks to meet deadlines;
- Proven experience handling confidential information with discretion;
- Fluency in English (both verbal and written), with the ability to read, understand and interpret complex information;
- Enthusiasm, a positive attitude and an appetite for learning.
We are looking for a team-focussed individual who can work 25 hours per week (including a full day every Wednesday and Friday until 5pm, and afternoons on Mondays and Tuesdays until 5pm). You will also need flexibility to work remotely if needed, and to temporarily increase your hours to cover leave taken by your teammates.
