Project Administrator

Full-Time

**Salary**: $70,000 - $90,000

**Job Summary**:
As the Project Administrator for our Perth office, you will play a critical role in ensuring the successful planning and execution of projects. You will need to possess excellent project administration skills and have a solid understanding of project management methodologies. Your responsibilities will include managing project schedules, coordinating project resources, tracking project progress, and ensuring project deliverables are met within budget and on time. Additionally, you will need to collaborate closely with project managers, project teams, and other stakeholders to ensure that project goals are achieved effectively and efficiently. Your role will require a high degree of attention to detail, effective communication, and the ability to work under pressure.

**Key Responsibilities**:
1. **Scheduling and Coordination**:

- Create and maintain comprehensive project schedules, including job assignments, service calls, and maintenance tasks.
- Coordinate with project managers, technicians, and other relevant personnel to ensure timely execution of tasks.
- Monitor project timelines and promptly address any deviations or delays.

2. **Resource Allocation**:

- Collaborate with department heads to allocate resources effectively for various projects and service requirements.
- Ensure that equipment, materials, and personnel are scheduled optimally to meet project deadlines.

3. **Communication**:

- Serve as a central point of contact for project-related inquiries and updates.
- Communicate project timelines, milestones, and changes to relevant stakeholders, both internally and externally.

4. **Documentation and Record-Keeping**:

- Maintain accurate and up-to-date project documentation, including schedules, job assignments, and maintenance records.
- Prepare regular reports on project status and performance metrics.

5. **Office Management Tasks**:

- Oversee general office administration tasks, such as organising meetings, managing office supplies, and handling incoming communications.
- Collaborate with the office manager to ensure smooth day-to-day operations.

6. **Problem Resolution**:

- Proactively identify potential scheduling conflicts and bottlenecks, implementing solutions to mitigate delays.
- Address and resolve any issues that may arise during the course of projects or daily operations.

**Qualifications**:

- Proven experience as a Project Administrator, Office Manager, or in a related role.

**Experience**:

- At least 2 years of experience in a similar environment.

**Skills**:

- Strong organisational and multitasking abilities with acute attention to detail.
- Excellent communication and interpersonal skills.
- Proficient in project management software and Microsoft Office Suite.
- Familiarity with industry-specific software/tools is a plus.
- Ability to work independently and collaboratively in a fast-paced environment.

**Salary**: $70,000 - $90,000
