**Job Description**:
Join our TAL Facilities team as a Facilities Coordinator, working flexibly from our Melbourne office.
Reporting to the Facilities Manager, you will support with the delivery of all facilities management services and annual projects for sites we are accountable for. Driving continuous improvements and efficiencies through the operating model, you will also assist with the overall workplace experience of our employees.
In this role you will be responsible for:
- Supporting an office move project located in Melbourne including; the establishment of new facilities, amenities, equipment, storage, site access and security requirements along with the relocation of necessary equipment
- Supporting and maintaining effective working relationships with key stakeholders
- Actioning employee queries via ServiceNow in line with service level agreements
- Conducting daily floor walks to pro-actively identify any risk items (via iAuditor)
- Engaging with relevant contractors to resolve repairs and maintenance
- Periodically perform on-site new starter Inductions
- Monitoring daily occupancy statistics via the Desk Reservation System (DRS)
- Locker allocations & quarterly locker audits
- Access pass allocations and quarterly audits of the access pass database
- Regular review of the cleanliness of utility rooms, contemplation rooms, reception areas, meeting rooms etc
- Be a secondary point of contact for sites under management (emergency response, fire warden training, first aiders etc)
- Identifying and communicating efficiencies to the Facilities Manager regarding the day-to-day operations
- Contract management including induction and compliance of building safety regulations and requirements
**Qualifications**:
- Excellent working knowledge of facilities management and essential services
- Strong customer service experience
- Experience in vendor management, safety, and risk management
- Strong interpersonal skills and experience working with senior members of an organisation
- Excellent time management skills
- High attention to detail
- Proficint using Microsoft Excel, Word & Outlook
