**Who we are**
The Finance Division supports the department to be efficient, effective, and financially sustainable through our business partnerships, the Finance Service Charter and our specialist centres of excellence. The division provides financial and management advice and support to the department, the offices of the minister and assistant ministers and to industry stakeholders. The division delivers on business objectives through the provision of high-quality customer service, advice and support and a nationally consistent approach to business, with consideration to the government’s tight fiscal environment, its significant reform agenda and the department’s imperative to maintain financial sustainability.
Financial Services Branch administers policies, provides quality advice and a high standard of service in a range of functions including travel, credit cards, procurement, grants, accounts payable, accounts receivable, appropriation management, insurance, financial policy, and reporting.
The Grants Section promotes a centralised governance and best practice approach to departmental grants. This is done through a number of measures including the administration of the departmental grant policy, developing tools and templates for standardised governance and grant administration and providing advice and support to policy teams across the department on grant related activities. The Section undertakes reporting functions and quality assurance reviews of grant documentation, and is responsible for engaging with policy teams in the development and design of New Policy Proposals and supporting engagement with a Grants Administration Hub. The Section supports the relationship with the Department of Finance, and Business and Community Grants Hubs, and works closely with colleagues in other internal enabling areas including legal, risk, external budgets, budget strategy and finance business partners. The Grants Team takes pride in creating and influencing continued improvement activities and is also committed to promoting environmental sustainability in grants.
**The Job**
The primary responsibilities of the role may include but are not limited to:
- Support and assist in the provision of advice and guidance to policy areas on design, implementation, and management of grants according to relevant policies and procedures.
- Maintain and manage contact lists and prepare communications to policy teams.
- Coordinate and collate agendas, briefing papers, reports and presentations for meetings.
- Provide secretariat support for meetings as required, including minute-taking, appropriate scheduling of meetings.
- Undertake research and draft responses to less complex correspondence and enquiries.
- Manage records in accordance with approved processes and security practices.
- Coordinate communication with the two grants administration hubs, as well as internal and other external stakeholders.
- Preparation of new delegation instruments for grants programs.
- Update and maintain the grants tracker.
- Manage invoice processes.
- Continuous improvement activities to seek out better ways to do things.
- Supporting the broader work of grants as needed.
