**The Company**:
This exceptional B2B Incentive Events Agency is looking for an Incentive and Conference Manager to join their rapidly growing team. This agency has a strong commitment to excellence and creativity to deliver world-class events for their clients. They run incentive programs and conferences both domestically and internationally.
**The Role**:
The Incentive and Conference Manager will be responsible for the management and administration of 6 key accounts, and will be responsible for the management of all program deliverables, projects and tasks for their clients' events. This role will also be responsible for developing and maintaining strategic partnerships with clients.
Key Responsibilities include;
- Planning and execution of incentive travel, conferences and events
- Coordinate and manage extensive travel logistics, nationally and internationally
- Obtaining accurate flight quotes from airline groups, internet and ticketing consolidators
- Venue sourcing and research; including site visits
- Liaison with internal and external suppliers
- Assisting with creation of proposals and budgets
- Assisting with creation and management of project timelines
- Manage relationships with travel vendors
- Negotiate contracts or rates with travel service providers
- Obtaining information relating to airline routes, arrival and departure times, logistics of flights with ground transfers and hotel check in
- Producing itineraries
- Management of all client payments ensuring they are made on time and any outstanding amounts are chased for payment before departure
- Management of travel communications and collateral
- Management of program budgets and reporting for budget consolidation
- Travel with and escort groups ensuring all travel arrangements run smoothly
- Management of delegate registrations and booking requirements
- Managing and maintaining existing business relationships with primary client contacts
- Provide clients with regular updates of program timelines and action plans to give client’s visibility on current actions with their programs
- Proven experience in incentive management
- Proven experience in conference management
- Exceptional leadership and team management skills
- Strong client stakeholder management skills, with a track record of building and maintaining long-term client relationships
- Excellent organisational and time management skills, capable of handling multiple projects and priorities simultaneously
- Highly detail-oriented and quality-focused, with a commitment to delivering exceptional event experiences
- Strong problem-solving abilities and has a proactive approach to addressing challenges
- Outstanding communication and interpersonal skills
- Flexibility and adaptability to work in a fast-paced, dynamic environment
- Proficiency in EventsAIR or another event management system is highly desirable
