About You

As the Program Coordinator you will be primarily responsible for assisting the successful and efficient delivery of projects through the provision of efficient and effective project and program coordination to the project manager, and or Senior Portfolio Manager along with providing relevant assistance to the Project Support Office. You will also work with the Change Manager, Architect/Technical Lead, Business Analyst, and other project team members as required.

Additionally, you will ensure projects are delivered in accordance with Delivery Framework and Governance processes. This will be achieved by working with Project and Portfolio Managers, providing consultation on delivery processes and practices, as defined by ITS Portfolio Office. As part of continuous improvement framework, Program Coordinator is required to contribute improvement ideas, call out gaps/inefficiencies, and propose improvement solutions to the Delivery Practices.

To be successful in this position, you’ll have as a minimum:

- Proven experience and demonstrated success in project and portfolio coordination with the ability to coordinate activities, by utilising management principles of planning, resource allocation, communication, implementation, negotiation, evaluation, and reporting.
- Excellent organisational skills.
- A proactive approach with the ability to multitask.
- Strong data analysis skills in resourcing, budgeting and scheduling.
- Strong MS Office skills (particularly Word, Excel, and Power Point) experience using Google Apps is an advantage. Ability to develop and utilise Pivot tables is essential.
- Strong interpersonal and communication skills, with the ability to build constructive and effective relationships and work cooperatively as part of a team
- Demonstrated ability to organise and prioritise work and complete tasks to deadlines
- Demonstrated experience in developing and producing high level project artefacts
- Experience in use and administration of PPM tools
- Previous experience in coordination with the ability to prepare meeting agendas and minutes
- Knowledge and understanding of the tertiary education sector and knowledge of ICT matters would be an advantage.
