Our client is a large and highly respected organisation based in the south eastern suburb of Dandenong South. Due to internal promotion they require a skilled and experienced
**Administration/Customer Service Officer** to commence with them on a full time/temp basis for a period of 6 months after which it is very likely this role will become permanent. This role is working in the office and will pay a very attractive rate for the successful applicant.
As an Administration/Customer Service Officer you are expected to be an active member of a team.
**Your responsibilities will include***:
- Order entry, processing, despatch, invoicing, including product and equipment orders, credit requests and client charges.
- Provide customer support via telephone enquiries and literature distribution.
- Monitor and report on Debtors.
- Process new accounts.
- Assist with the maintenance of inventory control including Stocktakes.
- Provide up to date status of administration matters to Managers.
- General office duties including typing, filing and mailing
- Obtain quotes from suppliers as required.
- Place orders, monitor orders and arrange any freight requirements
- Create new part numbers in system
- Maintain stock control in system for all equipment
- Assist where required with packing, invoicing and shipping of picked parts to interstate and customers
- Maintain system records of all “projects”. These include complicated overseas multi transactional purchases & sales
- Liaise between suppliers and shipping agents to ensure that the most efficient shipping agreement
is obtained.
- Ensure that all the required shipping documents are received to ensure prompt clearance through Customs and Quarantine.
- Arrange any local transport which is required to deliver shipments from the wharf to the correct site.
- Process all invoices for Shipping Exports
- Receive export orders and resolve any customer or product issues.
- Enter export orders and co-ordinate manufacture with the Production Manager.
- Communicate with Shipping Agent
- Prepare and arrange all export documentation and inspections
- Order export packaging requirements.
- Co-ordinate shipment and invoice the customer for goods supplied.
**Essential Criteria**
- At least 4-5 years experience within Admin & Customer Service
- Exports experience is desirable however not essential
- The ability to multitask effectively from phone tasks to administrative tasks
- Professional yet friendly telephone manner
- Good organisation skills with a strong attention to detail
- Ability to learn about the industry quickly.
- Being time sensitive and responsible in meeting deadlines and correctly undertaking your work
- Self motivation in following all company Workplace Health and Safety procedures.
- Full work rights in Australia to work full time.
- Articulate and takes pride in personal presentation.
