ABOUT THE ROLE
Come and join our exciting orbit as an Executive Assistant & Office Manager at Space Machines Company
Space Machines Company is seeking a versatile Executive Assistant to support our leadership team, be our Sydney office manager, and contribute to our marketing efforts. You will be responsible for providing high-level administrative support, managing schedules, coordinating meetings and travel arrangements, and handling various office administration tasks to help SMC achieve its goals.
What will you do?
- Coordinate complex schedules, meetings, and travel arrangements for the CEO and the team.
- Manage and maintain the CEO's calendar, ensuring effective time management and scheduling of commitments
- Manage the Sydney office, including reception duties, maintaining office supplies, and ensuring a professional work environment. Organize and facilitate on-site meetings, including visitor management and logistics.
- Prepare professional documents, presentations, and reports using Canva and Google Workspace. Contribute to the creation of marketing materials using Canva and other design tools.
- Handle administrative tasks including document management, expense tracking, and new employee onboarding.
- Assist in planning and executing corporate events, trade shows, and product launches. Coordinate with vendors and manage event logistics to ensure smooth operations.
- Support merchandising strategies, including inventory management of promotional items.
- Conduct research and provide analytical support for various initiatives.
- Maintain strict confidentiality with sensitive information.
- Assist with special projects and ad-hoc assignments as needed

Who are you?
- Minimum 5 years of experience as an Executive Assistant or in a similar role
- Bachelor's degree in Business Administration, or a related field
- Experience in office management and reception duties
- Knowledge of travel booking and logistics management
- Experience in event planning and basic marketing principles
- Proven track record of providing high-level administrative support
- Exceptional time management, organizational, and multitasking abilities
- Strong attention to detail and commitment to confidentiality
- Advanced proficiency in MS Office, Google Workspace, and Canva
- Excellent written and verbal communication skills
- Ability to work independently and collaboratively in a dynamic environment
- Strong problem-solving and critical thinking skills
- Interest in the space industry and willingness to learn
