**Personal Assistant to State Director Operations | VIC | Fixed Term x 14 months

The Personal Assistant to the State Director plays a crucial role in ensuring the smooth and efficient operation to the State Director. This position requires a highly organised, proactive, and detail-oriented individual with strong communication skills and the ability to maintain confidentiality at all times.
**What you’ll do
- **Diary Management**:Maintain and manage the State Director's complex and dynamic diary, scheduling appointments, meetings, and events, ensuring efficient use of time and minimising conflicts.
- **Meeting Coordination**:Prepare agendas, collate and distribute meeting materials, take minutes, and follow up on action items.
- **Travel Arrangements**: Arrange domestic and international travel, including flights, accommodation, and ground transportation.
- **Event Management**:Assist with the planning and execution of events, offsites including securing speakers all things event oriented.
**What you’ll bring
**You are self-motivated and proactive, with the ability to work independently and as part of a team. Excellent organisational and time management skills, prioritising and managing multiple tasks simultaneously.
You will also have:
- previous experience in an administrative role, ideally supporting senior leaders.
- ability to problem solve, multitask and be flexible with priority of work, knowing what can be handled directly and when to escalate
- experience and/or willingness to learn how to create presentation packs
- resilience, open to feedback and able to be proactive in identifying areas for improvementthe confidence to interact with senior leaders and handle sensitive information
