Office & Facilities Administrator (part time) - Brisbane - Fortitude Valley
Start Date: ASAP
End Date: 29/03/2024 (Initial 6 months Contract, possible Perm)
Hours/day: 6
Hours/week: 30
Pay Rate: $38-$48 per hour + super
Location: Brisbane - Fortitude Valley
This role is based in Brisbane - Fortitude Valley but reports into the Ampol Building Manager located at Alexandria Head Office.
**Office Administration**
2. Greet visitors and provide a warm and professional front-desk experience
3. Receive and despatch parcels and mail via courier and collection from PO Box on a daily basis
4. Maintain office supplies, reorder supplies as required and ensure stock levels are maintained in accordance with Ampol guidelines
5. Assist in preparing reports, presentations and documents as required
6. Organise and maintain office records and documents
7. Co-ordinate meeting room bookings
8. Assist members of the team with other adhoc administration requirements
9. Undertake Fire Warden and First Aid training supplied by Ampol
10. Raise shopping carts and post invoices in SAP (training provided)
**Facilities Administration**
1. Ensure the office space is maintained in an organised and clean manner
2. Liaise with external vendors and contractors for repairs and maintenance as required by Ampol Building Manager
3. Ensure officed equipment is maintained in good working order
4. Undertake office induction for new staff members inclusive of issuing staff passes
5. Assist with travel and accommodation bookings for staff using the relevant online tool UConnect and the Ampol approved travel supplier
6. Ensuring EV vehicle (where available) is serviced and maintained - this may require you to drive the vehicle to the mechanic
**Qualifications**:
1. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
2. Strong organisational skills with the ability to multitask and prioritise effectively
3. Excellent communication and interpersonal skills
4. Attention to detail and a proactive approach to problem-solving
5. Ability to work independently and collaboratively as part of a team
6. Flexibility and adaptability to changing needs and priorities
**Essential requirements**
Driver's License
