Description
We are looking a talented Executive Assistant to join our Nuix team to support our Executive Vice President, APAC and Global Alliances and Chief Marketing Officer. The Executive Assistant plays a critical role in providing high-level administrative support to our Leadership Team. This position requires exceptional organisational skills, effective communication, and the ability to manage complex tasks efficiently.
Key Responsibilities
Diary management, including coordinating complex meeting across multiple time zones ensuring all pre meeting requirements are considered and prepared. Managing each Executives time, taking into consideration priorities, available time, and other variables.
Coordinates all aspects of both domestic and international travel arrangements for the Executives including but not limited to booking flights, hotel and local transportation, providing agendas, itineraries and travel packs and dealing with and proactively managing and communicating changes as required, in a timely manner
Planning & executing internal team offsites & events such as virtual and in-person Town Halls
Meeting and greeting internal and external clients with a warm and professional disposition while addressing needs with a sense of urgency, priority and confidentiality
Processing and submission of all expenses for each of the Executives on in a timely manner
Handle a wide range of administrative tasks, including drafting correspondence, reports, and presentations. Collating input from team for monthly Board Reports, and raising Purchase Orders
Coordinate and communicate with other Executive Assistants playing a key role to ensure alignment of Executive diaries, events and corporate calendar
Identify and drive implementation of administration process and system improvements
Undertake special projects or other ad-hoc duties as reasonably required, including on-boarding new team members
Identify and implement operational improvements
Skills, Knowledge and Expertise
5+ years’ experience in a similar role within a global company
Proven ability and a strong passion for working in a very fast paced, agile and result oriented organization with multiple stakeholders and competing demands
Strong sense of professionalism reflected in presentation of work, personal appearance and interactions with colleagues and stakeholders
Demonstrated ability to plan and prioritise workload and agree with various stakeholders what the priorities are
Demonstrated analytical and critical thinking skills
Tech savvy with strong proficiency in all office systems including PowerPoint, Excel, Word, Outlook, cloud-based systems, and Teams
Advanced written and verbal communication skills across stakeholders at all levels both internally and externally
Must perform well under pressure and high workloads, and be able to communicate effectively
Ability to work to tight deadlines and timeframes, paying high attention to detail
Willingness to contribute to team goals, provide proactive support and do so with a can-do attitude
Demonstrates a proactive and strategic approach to problem solving uses initiative and has excellent follow-through
This position often requires the handling of sensitive information with professionalism and integrity, with a need to maintain strict confidentiality and demonstrate discretion in communication with others.
