About the Role

As a Workforce Scheduling Coordinator, you will play a critical role in managing support worker rosters to ensure every client receives timely, quality support. This role is ideal for someone who can think on their feet, work with a sense of urgency, and adapt quickly to last-minute changes.

Key Responsibilities
  • Create and maintain Master Rosters across multiple service sites, aligning staff availability and client needs.
  • Respond promptly to same-day changes such as cancellations, no-shows, or urgent shift coverage requests.
  • Coordinate day-to-day shift allocations under pressure while maintaining service continuity.
  • Proactively escalate unfilled shifts or urgent service disruptions through appropriate channels.
  • Ensure rostering system data is accurate, real-time, and reflects all changes as they occur.
  • Liaise with Service Managers and Operations Managers to plan ahead and anticipate future staffing needs.
  • Monitor rostering efficiency and adapt schedules quickly to minimise client impact and ensure compliance.
  • Provide timely support to staff and clients during out-of-hours emergencies as part of the on-call roster.
What We're Looking For
  • Ability to work with a strong sense of urgency while maintaining attention to detail and quality.
  • Sound knowledge of relevant award conditions and rostering compliance requirements.
  • Proficiency in Workforce Management Software (e.g., Flow Logic, ShiftCare, Skedulo, Carelink, or similar).
  • Excellent time management and the ability to prioritise urgent and competing demands effectively.
  • Strong verbal and written communication to coordinate with multiple stakeholders under pressure.
  • Proactive, solution-focused mindset with resilience to manage stressful situations calmly and effectively.
  • Commitment to client-centred support and a collaborative approach to team-based service delivery.
