Position Overview :

The Procurement and Warehousing Coordinator is responsible for the efficient management of procurement processes, warehouse operations, and strategic scheduling and planning. This role ensures the timely sourcing, purchasing, storage of goods, as well as the development of schedules to optimize inventory management and distribution, supporting the seamless flow of materials throughout the supply chain.

Key Responsibilities :

Procurement :

Manage end-to-end procurement processes, including sourcing suppliers, negotiating contracts, and placing orders.

Monitor market trends and supplier performance to ensure the best pricing, quality, and delivery timelines.

Maintain and update accurate records of purchased goods, pricing, and supplier contracts.

Work closely with internal teams to assess and forecast supply needs.

Ensure compliance with procurement policies, regulations, and budgetary constraints.

Liaise with vendors to resolve any issues related to product quality, delivery delays, or other discrepancies.

Prepare purchase orders, manage requisitions, and track deliveries to ensure timely receipt of goods.

Warehousing :

Oversee the day-to-day management of warehouse operations, including receiving, storing, and dispatching materials.

Ensure inventory accuracy by performing regular stock counts and reconciling discrepancies.

Manage the storage of materials in an organized and safe manner, ensuring compliance with safety and regulatory standards.

Optimize warehouse layout to improve space utilization and streamline workflow.

Coordinate with transport teams to ensure timely delivery of goods to internal stakeholders or customers.

Implement and maintain inventory control systems, including stock rotation

Supervise warehousing staff, ensuring efficient operations and adherence to company policies and procedures.

Scheduling and Planning :

Develop and manage procurement and warehouse schedules, ensuring timely purchasing, receipt, storage, and dispatch of materials.

Plan inventory replenishment schedules based on demand forecasting and historical trends to minimize stockouts or overstocking.

Coordinate with the Maintenance team to align material delivery schedules with project or production timelines.

Establish and maintain schedules for routine inventory counts, product inspections, and other warehouse-related activities.

Create and monitor delivery and dispatch schedules to ensure the timely flow of materials to and from the warehouse.

Work with the supply chain team to plan and optimize inventory movements and storage plans, improving efficiency in warehouse operations.

Analyze scheduling data and adjust plans as needed to address any changes in demand, inventory levels, or supply chain disruptions.

Ensure that procurement and warehousing activities align with the overall business objectives and sales forecasts.

General Responsibilities :

Maintain strong relationships with suppliers, vendors, and internal departments to ensure smooth operations.

Provide regular reports on inventory levels, procurement activities, and warehouse performance.

Identify opportunities for cost reduction and process improvements.

Ensure safety standards are adhered to within the warehouse.

Assist in the development and implementation of supply chain strategies to improve efficiency and reduce costs.

Qualifications and Skills :

Experience in Supply Chain Management, Business Administration, Logistics, or related field (or equivalent work experience).

Proven experience in procurement, inventory management, warehouse operations, and schedule planning (minimum of 2-3 years preferred).

Strong knowledge of procurement processes, inventory control systems, warehousing best practices, and scheduling / planning methods.

Excellent negotiation, communication, and problem-solving skills.

Ability to manage multiple priorities and work under pressure.

Proficiency in Microsoft Office Suite and experience with warehouse management software (WMS) or Enterprise Resource Planning (ERP) systems.

Strong attention to detail and organizational skills.

Ability to work independently as well as part of a team.

Physical Requirements :

Ability to lift up to 15kg.

Ability to work in a warehouse environment, including extended periods of standing and walking.

Working Conditions : Full-time position.

Office and warehouse environment.

Occasional overtime may be required to meet deadlines or handle emergencies.

Saturday work is available
