Overview

Executive Assistant to Director of Franchise Operations APAC at Guzman y Gomez Mexican Kitchen. We are looking for a highly motivated Executive Assistant to support the Director of Franchise Operations APAC and provide vital operational coordination across our high-performing team.

What You'll Do
  • Executive Support: Manage and coordinate calendar, travel, meetings, and communications ensuring optimisation of time allocation for a Director with high travel requirements.
  • Prioritise and triage emails and requests to ensure the Director is focused on critical matters.
  • Prepare reports, presentations, briefing docs, and agendas for internal and external meetings.
  • Collaboratively support leadership and meeting preparation and follow-up.
  • Act as the key point of contact for internal and external stakeholders on behalf of the Director.
    • Office Management: Act as the head office operations contact for GYG's Brisbane head office, including visitors, deliveries, maintenance, cleaning, building management & security.
    • Manage the ordering and receipt of supplies for the QLD office, including stationery, food & drinks, cleaning supplies, etc.
    • Create welcome packs for new hires, manage merchandise and restaurant uniform stock, and oversee office seating plans and building access codes.
      • Team Coordination: Coordinate team calendars, meetings and use of project management tools.
      • Manage the Franchise Operations team annual leave calendar and approvals.
      • Coordinate end-to-end event management on a national level for Franchise Operations, including travel and presentation materials.
      • Manage budget tracking and maintenance within the Franchise Operations team.
      What We're Looking For
      • At least 3-5 years of PA or EA experience.
      • Proactive, resourceful, and solutions focused.
      • Outstanding organisational skills and attention to detail.
      • Ability to handle sensitive information with discretion and maintain confidentiality.
      • Strong relationship-building skills with the resilience to navigate a fast-moving business.
