Overview

Project Administrator/Coordinator role at Givaudan. Location: Baulkham Hills, Sydney, NSW, Australia. Reporting to Taste & Wellbeing Technical Head. This role supports project management excellence for the Oceania commercial team and ensures sound decisions and a positive customer experience through effective project administration. There are opportunities to participate in tasting sessions to provide input and feedback, so a passion for food is a plus.

Main Responsibilities
  • Be the power user for our Givaudan project administration tools; support project tracking, tasking, and status updates across the project pipeline to enable end-to-end brief management.
  • Prepare and maintain project status reports, dashboards, and performance metrics, ensuring accuracy.
  • Bring the team together to resolve project-related issues and support project planning activities.
  • Schedule and facilitate daily assessment meetings for Inflow Projects.
  • Drive project review meetings for projects in progress.
  • Support resource management by assigning tasks in Atlas after the assessment meeting and tracking resource utilization in end-to-end project management.
  • Support the Commercial team in conducting post-project reviews, lessons learned documentation, and other project closure activities.
  • Support the Oceania Technical Head and Leadership team to establish and sustain Brief Management Best Practices.
  • Act as a trainer to the Oceania commercial team members on Brief Management systems.
  • Be an active member of the Atlas super user community in APAC and raise Oceania needs and recommendations.
Main Requirements
  • Bachelor's degree in Business Administration, Project Management, Information Technology, or a related field.
  • 2+ years of experience in a project administration/management role.
  • Proficient in project management software (e.g., Jira) and the MS Office suite; familiarity with Agile methodologies.
  • Ability to identify issues, propose solutions, and implement corrective actions.
