About the Venue:
Located just one hour south of Sydney in the scenic Illawarra region,Novotel Wollongong Northbeachis a premium 4.5-star beachfront hotel overlooking North Wollongong Beach. The hotel offers 209 stylish rooms and suites with breathtaking ocean and mountain views. It features five food and beverage outlets, a pool, fitness centre, convenience store, and 15 versatile event spaces making it a destination for both leisure and business guests, as well as a premier venue for weddings, conferences, and large-scale functions.
About the Role:
We are seeking an organised and customer-focused Groups Coordinator to manage accommodation group bookings and ensure seamless experiences for our clients from enquiry to departure. This full-time role will report into the Reservations Manager and see you working closely with the Revenue, Sales, Events, and Operations teams to deliver exceptional service and tailored solutions for group reservations.
Key Responsibilities:
Access to exclusive Oscars Group food & beverage discounts
Manage all accommodation group booking enquiries, providing accurate and timely quotations
Obtain management-approved rates for all group quotations
Handle all rooming lists for Conference & Events (C&E) group blocks
Prepare proposals, contracts, and event orders in line with client requirements
Coordinate invoicing and follow up on payments for group bookings
Maintain effective communication with external clients to confirm details and requirements
Communicate booking details and updates to internal stakeholders
Monitor group booking performance and prepare reports on statistics and activity
Liaise with Revenue, Sales, and Events teams to ensure alignment and maximise occupancy and revenue
Maintain accurate booking records within the property management system
Support other reservations functions as required
About You:
Strong organisational and administrative skills with high attention to detail
Excellent written and verbal communication skills
Ability to manage multiple bookings and priorities in a fast-paced environment
Proficiency in Microsoft Office and familiarity with property management/booking systems (highly regarded)
Customer-focused with the ability to build rapport quickly and professionally
