About the role

We are seeking a motivated and experienced Administration Team Leader to join our dynamic Outpatient Services team. This full-time role is responsible for leading administrative operations across two key Cabrini outpatient sites.

You will play a vital role in ensuring the smooth delivery of services, supporting a collaborative team, and enhancing the patient experience.

About You

We're seeking a dynamic and experienced Administration Team Leader to drive excellence across Cabrini's outpatient services. In this pivotal role, you'll collaborate closely with admin staff, clinicians, and support services to ensure seamless day-to-day operations and outstanding patient care.

Key responsibilities:

  • Lead and support the outpatient administration team across two locations, ensuring efficient and professional daily operations

  • Build and maintain a positive team culture focused on collaboration, excellence, and continuous improvement

  • Work closely with the Outpatient Manager to manage team performance, rostering, and task allocation

  • Oversee billing processes including HiCAPS, Medicare, and private health fund claims

  • Manage weekly banking and transaction reconciliation in line with financial and contract compliance requirements

  • Coordinate core administrative functions, such as patient scheduling, informed financial consent, admissions/discharges, and certificate handling

  • Provide front desk coverage as needed, ensuring a seamless patient and visitor experience

  • Maintain and update clinical diaries and referral workflows through Cabrini Access Services

  • Act as a liaison with internal support departments (e.g. Engineering, Domestic Services, IT) to ensure smooth site operations

  • Uphold confidentiality and privacy in line with the Australian Privacy Principles and Cabrini's policies

  • Escalate complex issues to the Outpatient Manager when necessary

About you:

  • Strong attention to detail with a passion for delivering high-quality customer service

  • Proven leadership experience, including performance management, conflict resolution, and team development

  • Flexible, collaborative, and able to work proactively in a fast-paced environment

  • Effective under pressure with strong organisational and time management skills

  • Proficient in Microsoft Office; experience with webPAS is highly regarded

  • Previous experience in healthcare administration and/or training in medical terminology is highly desirable
