Description

As part of the Department for Correctional Services' Aboriginal School-Based Traineeship program, this traineeship will allow you to learn the skills to work effectively in a business environment. Positions are located in Adelaide and Murray Bridge.


Key Purpose of the Position

The Administrative Trainee will be supported through a training program. This will include nationally recognised training and practical work experience to undertake the tasks described in this document efficiently.


The Trainee will be supported in order to develop skills to:

  • Deliver a range of administration functions that support Branch/Unit operations.
  • Produce data records (electronic and manual) that are up to date, by accurately preparing and entering new information.
  • Answer enquiries in a timely and professional manner.
  • Participate and contribute to the Branch/Unit team.
  • Contribute to the delivery and maintenance of efficient work practice and processes.

Key Stakeholder Interaction

Reports to:

  • The Team Leader within the relevant Unit;
  • Liaise with all staff within the respective branch including interaction with management and other Business Units.

Special Conditions
  • The Trainee will be required to actively participate and complete a Certificate III in Business Administration (or similar) during the course of their contract.
  • Section 47 of the Public Sector Act 2009 applies in conjunction with other provisions of the act and other applicable industrial entitlements.
  • The incumbent is required to satisfactorily complete a National Criminal History Check;
  • A flexible approach to working hours is required.

  • Legislative requirements that apply to the role. This includes, but is not limited to, the Public Sector Act; Correctional Services Act, Work Health & Safety Act, Return to Work Act, Equal Opportunity Act, Independent Commissioner Against Corruption Act, the State Records Act, and various relevant industrial awards and enterprise agreements. The Public Sector Principles and Practices including the SA Public Sector Code of Ethics, the Professional Conduct Standards, the Commissioner's Determinations and Guidelines, Information Privacy Principles, Information Sharing Guidelines, DCS Human Resource policies and guidelines and DCS Core Values.
  • DCS employees will maintain the integrity and security of official or confidential information for which they are responsible. Employees will also ensure that the privacy of individuals is maintained and will only release or disclose information in accordance with relevant legislation, industrial instruments, policy, or lawful and reasonable direction.
  • Work health and safety and injury management requirements as set out in relevant legislation, Public Sector and DCS policies and procedures, including complying with any reasonable instruction associated with these documents.

Key Areas of Accountability
  • Undertake business support for the Branch/Unit which may include preparing letters and contracts, preparing correspondence and collating information.
  • Provide efficient and accurate word processing, working in a Windows environment and with Microsoft applications, e.g. Outlook, Word and Excel.
  • Undertake a range of record management activities to include accurate data entry.
  • Assist with minor research activities.
  • Provide a consistent and effective customer service.
  • Provide high level culturally appropriate communication, including efficient telephone and email services to all customers and colleagues.
  • Maintain a sound knowledge base of the activities performed within Branch/Unit.
  • Actively participate in professional development activities.
  • Responsible for taking reasonable care for their own and others' health and safety and not adversely affecting the health and safety of others.
  • Responsible for early notification and reporting of workplace hazards, incidents and injuries.
