Toowoomba Grammar School is seeking a highly organised,proactive and professional Executive Assistant –School Operations to provide executive-level support tothe Deputy Headmaster, Head of Senior School and Directorof Boarding.
This is a newly created role, offering a rare opportunity tobuild and shape the function from the ground up. You will work atthe heart of school operations, supporting key leaders and playinga vital role in student support, event coordination, stakeholdercommunication, and operational excellence.
About the Role:
You will provide comprehensive executive support, includingcalendar management, meeting preparation, internal communications,student leadership support, and high-level event planning. Withaccess to confidential and sensitive information, discretion andprofessionalism are essential. You'll also contribute to keyschool-wide processes and foster strong relationships with staff,students, and families.
Your Key Responsibilities:
- Executive and administrative support to senior leaders
- Communication and stakeholder liaison
- Event planning and coordination
- Oversight of internal communications and schoolcalendars
- Contribution to school operations and complianceprocesses
What We're Looking For:
- Demonstrated experience in a senior Executive Assistant orhigh-level administrative role
- Proven ability to manage competing priorities withdiscretion and professionalism
- Strong interpersonal, written and verbal communicationskills
- High level of digital literacy, including Microsoft 365 anddocument management systems
- Experience in education or large organisational settingshighly regarded
- Familiarity with Student Information Systems or schooloperations is advantageous

Toowoomba Grammar School was founded in 1875 and is a memberschool of the Great Public Schools Association of Queensland(GPS). It is an independent non-denominational day andboarding school for boys with a total enrolment of 1,200 fromPreparatory to Year 12. There are approximately 300 boardersin the School coming predominantly from throughout Queensland,Northern New South Wales and the Northern Territory. TheSchool's campus covers 20.5 hectares and is located onekilometre from the centre of Toowoomba.

Selection Criteria:
You will be able to demonstrate your ability and commitmentto:
Executive Support and AdministrativeExperience
Demonstrated experience in providinghigh-level executive support to senior leaders, including calendarand email management, meeting preparation, minute-taking, and theability to anticipate the needs of executives to ensure seamlessday-to-day operations.
Communication and InterpersonalSkills
Excellent written and verbal communicationskills, with the ability to prepare professional correspondence,reports, and presentations. Proven ability to liaise confidentlyand effectively with a wide range of internal and externalstakeholders, including parents, students, staff, and externalpartners.
Organisational and Time ManagementSkills
Strong organisational skills with the ability tomanage multiple priorities, deadlines and complex schedulingdemands with a high level of accuracy and attention to detail.Ability to work independently and exercise sound judgement in adynamic environment.
Discretion and Confidentiality
Provencapacity to handle sensitive and confidential information with thehighest level of integrity, discretion and professionalism,especially in an educational or high-trust setting.
Event Planning and Coordination
Experiencein coordinating events or functions, including managing logistics,invitations, catering, audiovisual requirements, andcommunications. Ability to work collaboratively with various teamsto ensure successful event delivery.
Digital and Systems Proficiency
High levelof competence using Microsoft Office 365 suite, including Outlook,Word, Excel, PowerPoint and SharePoint. Experience with digitalfiling systems, school communication platforms, and studentinformation systems (e.g., TASS or similar) is highlydesirable.
Commitment to School Values andCulture
Demonstrated understanding of, and commitmentto, the values and ethos of an independent school environment.Willingness to contribute positively to the school community andsupport its mission and strategic goals.
Flexibility and Team Orientation
