Overview

We are seeking a highly organised and detail oriented Lease Administrator to join our fast paced, high volume Lease Management Team on a 15 month contract basis reporting to the Head of Lease Management. This role supports the management of our lease portfolio across Australia and New Zealand, handling landlord communications, maintaining lease records and related charges, ensuring lease term compliance, and contributing to the broader lease management processes to optimise property management and financial performance.

Responsibilities
  • Daily management and distribution of incoming property related mail
  • Monitoring, calculation and payment of Base Rental Reviews in accordance with lease terms
  • Calculation of Percentage Rentals payments and accompanying audits
  • Scrutiny of payments for rates, taxes, insurance and extended trading hours charges
  • Distribution of Insurance Certificates
  • General administrative tasks relating to Lease Management
  • Collaborate with landlords and internal departments to resolve lease related issues
Qualifications
  • 3-5 years' experience in lease administration, preferably in a retail or commercial real estate environment
  • Prior lease administration experience within commercial and shopping centre/retail environments
  • Proficiency with Lease Management software (Progenesis or similar) is highly regarded
  • Excellent communication and literacy skills with the ability to liaise, influence and communicate effectively at all levels
  • Strong understanding of lease terms, data integrity and validation, and lease related financials
  • Strong attention to detail and ability to interpret lease documentation and communicate professionally with landlords and stakeholders
  • Strong organisational skills to manage multiple leases and deadlines
  • High level of analytical thinking and willingness to challenge the status quo
  • Ability to anticipate potential issues and proactively manage them
  • Ability to work both collaboratively in a team and autonomously
