The role will help lay the foundations for Hobart Women's Shelter's long-term growth, enabling us to meet the evolving needs of women and children in Tasmania. Role Overview

The Fundraising Coordinator will work closely with the Strategic Partnerships Manager to coordinate targeted initiatives, strengthen donor engagement, and help build a self-sustaining funding pipeline to meet Hobart Women's Shelter's strategic priorities and operational needs.

This role will focus on delivering philanthropic growth and implementing donor cultivation and retention strategies, with a particular emphasis on planning, delivering, and optimising appeals (e.g., End of Financial Year, Christmas) to drive revenue growth. The Fundraising Coordinator will also be responsible for building systems and executing ongoing touchpoints that support donor journeys and maximise engagement.

In addition, the role will establish and formalise systems to analyse fundraising performance and donor retention, ensuring effective donor management, reporting, and data-driven decision-making. By expanding Hobart Women's Shelter's fundraising capacity, this position will help lay the foundations for sustainable income growth to support our mission.

Key Result Areas / Key Duties

1.Professional / Fundraising Responsibilities

  • Plan and implement major fundraising campaigns and events — including End of Financial Year and Christmas appeals — in line with the Fundraising Strategy and organisational calendar.
  • Plan, launch, and implement structured donor programs — such as new supporter onboarding journeys and targeted engagement journeys — designed to increase retention and lifetime value.
  • Deliver regular and tailored fundraising communications — including newsletters, impact reporting, and supporter surveys — to maintain engagement between campaigns and programs.
  • Coordinate and steward community fundraising activities — including donor events, tailored communications, administration of fundraising approvals (e.g., Permission to Fundraise), and CRM management — to support smaller donor relationships and contribute to broader strategic fundraising initiatives.
  • Develop and update fundraising content across the HWS website, digital channels used for fundraising (including social media), and printed materials to ensure consistent, values-aligned messaging.
  • Coordinate and support the ongoing Buy a Brick campaign as a sustained, standalone fundraising initiative, ensuring integration with donor stewardship processes.
  • Assist in the development and delivery of a Gifts in Wills program — including helping to build the underlying systems, processes, and donor touchpoints.

2.Administrative and Organisational Requirements

  • Ensure the optimisation, maintenance, and accurate use of the donor CRM (currently eTapestry), including updating records, developing systems for effective data management, and generating and analysing reports to inform fundraising strategy and track performance. Work with the Administration team to ensure donation records are accurate, while donation processing remains their responsibility.
  • Establish systems to monitor donor engagement, retention, and campaign outcomes to support continuous improvement.
  • Conduct prospect research to identify and qualify potential funders that align with HWS's values and strategic priorities.
  • Respond to occasional fundraising-related and financial donor enquiries to ensure timely, accurate, and relationship-focused communication.
  • Ensure all fundraising activities adhere to HWS's Stakeholder Relationships Policy and manage administrative compliance requirements including the coordination of Permission to Fundraise, Supporter Agreements, and Partnership Agreements.
  • Contribute to policy development and review, and actively participate in continuous improvement by offering ideas, feedback, and encouraging input from other staff.

4.Professional Development

  • Participate in supervision as required.
  • Maintain awareness of current resources, developments, and innovation within the fundraising and social impact sectors.

Salary and Work Schedule

  • Salary is at SCHADS Award Level 5 - Pay Point based on qualifications and experience (from $51.00 – $53.31 per hour)
  • 4 days per week 9am – 5pm with an initial contract period of 12 months.
  • There may be occasional work outside normal business hours, such as for an evening event.

Selection Criteria

1.Fundraising and Campaign Delivery

Demonstrate a minimum of three years' experience in a fundraising role (preferably appeals), with donor engagement and campaign delivery responsibilities. Provide examples of appeals (e.g., End of Financial Year, Christmas) you have delivered, outlining the planning and execution involved, and highlight your ability to meet deadlines and deliver high-quality campaigns.

2.Communication and Relationship Management

Provide examples of your written communication and storytelling skills, particularly how you tailor messaging for different audiences. Describe how you build and maintain strong donor or stakeholder relationships to support fundraising outcomes.

3.CRM and Data Management Skills

Outline your experience using CRM systems (e.g., Blackbaud's eTapestry or Raiser's Edge) for donor management, fundraising performance analysis, and reporting. Describe your proficiency with these platforms and how you've used them to support fundraising goals, improve donor engagement, and inform strategic decisions.

4.Digital Tools and Communications

Describe how you use digital tools—such as social media, Canva, and generative AI (e.g., ChatGPT, Copilot)—to create donor-facing content and support fundraising campaigns. Provide examples of communications you've developed and how these tools helped enhance donor engagement, reach, or impact.

5.Organisation, Initiative, and Teamwork

Describe how you manage your time and priorities to meet deadlines. Include an example of how you worked both independently and collaboratively within a team to deliver a successful fundraising project or campaign.

About Hobart Women's Shelter and the Fundraising Coordinator Role

For 50 years, the Hobart Women's Shelter has provided safe, emergency accommodation, housing, and specialist support to women and children experiencing family violence and/or homelessness. We are a trusted leader in the sector in Tasmania, with a growing national and international profile.

In 2022, we created the Strategic Partnerships Manager role to strengthen fundraising. Since then, donation income has more than doubled. Recent achievements include:

  • Raising over $1.2 million through the Buy a Brick campaign, funding 2 of 25 planned long-term homes.
  • Securing $500,000 for family violence counselling, legal advice, and therapeutic programs.
  • Leveraging $205,000 in philanthropic funding into a $9 million State and Federal Government grant has enabled us to renovate our communal spaces and, by 2026, double our emergency accommodation capacity to 30 units — supporting up to 30 women and 90 children at maximum capacity.

Despite these significant achievements, demand for our services continues to exceed capacity, with Hobart Women's Shelter currently turning away 8 in 10 women and children who seek assistance. Our reliance on one-off grants also limits longer-term planning and certainty. Our strategic priority is to develop sustainable funding to build more long-term homes for women and children and ensure that specialist supports and programs can continue into the future.
