Activate Migration Australia (AMA) is a specialist migration consultancy firm that provides tailored visa and migration solutions for individuals, families and businesses. We pride ourselves on delivering professional and client-focused services that make the migration process seamless and stress-free.

We are seeking a highly organised and motivated Program Administrator to join our growing team. This role will support the delivery of our migration programs and services by coordinating processes, ensuring compliance, and enhancing the overall client experience.

Key Responsibilities

  • Plan, implement and review AMA's migration support services across skilled, family, student, and employer-sponsored visas.
  • Coordinate workflow between migration lawyers, clients, and external stakeholders to ensure timely and accurate case management.
  • Monitor program progress and prepare reports on application timelines, outcomes, and client satisfaction.
  • Ensure compliance with legislative requirements, migration regulations and policy, and AMA's internal quality standards.
  • Maintain and improve client record systems, policies, and program procedures.
  • Oversee administrative staff involved in client service delivery and provide induction and training resources.
  • Assist in budget monitoring, resource allocation, and continuous improvement of service delivery.

Skills & Requirements
  • A minimum diploma qualification in project management or business administration
  • Minimum 2 years of experience in program/project coordination, administration, or service delivery management.
  • Strong organisational and project management skills with the ability to manage multiple priorities.
  • Excellent communication and interpersonal skills for liaising with clients, staff, and external organisations.
  • High attention to detail and commitment to compliance and quality standards.
  • Proficiency in Microsoft Office and client management systems.
  • Experience in the migration, education, or legal sector will be highly regarded.
