About the Role:

Lead the charge in creating a seamless and efficient reservations experience at Ode Hotels. You'll oversee all aspects of the Reservations Department, from FIT bookings to internal communication s, ensuring every detail is managed with precision and care. Working closely with the Revenue Services Team, you'll play a key role in maximizing yield, balancing inventory, and optimizing distribution across all channels in line with strategic revenue goals. Collaboration is at the heart of this role— you'll partner with operational and functional teams to establish a guest-first, solutions-driven approach, ensuring every inquiry is handled seamlessly and every opportunity to enhance revenue is captured.

Key responsibilities:

People

  • Ensure Standard Operating Procedures are effectively developed, communicated, implemented, trained and adhered to
  • Manage everyday activities, plan and assign work ensuring you always have the right staffing numbers. Implement strategies to identify future talent needs and develop high performers
  • Maintain the Reservations Dept roster ensuring high/low periods are appropriately staffed in line with demand and payroll objectives and annual leave is appropriately allocated and utilised.
  • Prepare detailed on-boarding programs for new team members
  • Develop your team and improve their performance through coaching and feedback, and create performance and development goals for colleagues - recognise good performance. Undertake performance development reviews in line with EVT policy.
  • Recommend or initiate any HR related actions where needed. Oversee all disciplinary procedures in relation to staff in line with EVT guidelines
  • Make available training and development opportunities to all employees under your leadership and provide an environment where all employees are given the opportunity to learn and develop in their respective roles. Include any cross training and exposure opportunities where applicable
  • Drive a great working environment for teams to thrive -connect departments to create sense of one team
  • Actively participate in all training and development, ensuring any pre/post course action activity is undertaken
  • Train colleagues to make sure they deliver with compliance and to the standards we expect. Ensure they have the tools they need to work efficiently

Responsible Business

  • Demonstrate a sound awareness of WHS policies and procedures, ensuring dissemination of information to all team members
  • Champion the identification and correction of hazards using a range of risk management tools including, yet not limited to hazard reporting, workplace inspections and accident/injury/incident reporting
  • Support the EVT Community Engagement program
  • Ensure the rehabilitation for injured or ill employees returning to work is aligned with EVT's return to work policy and workers compensation documents where necessary
  • Manage the daily operations of revenue systems, ensuring all reservations are made in line with current rates in order to achieve optimum average rate and inventory balance
  • In collaboration with EVT Revenue, maintain inventory balancing as well as channel parity, in terms of promotions/ packages, rates, inventory on third party websites
  • Support hotel teams to manage group business complying with EVT standards to ensure accurate block management, ensuring accurate forecasting is available
  • Responsible for management of rate loading, accuracy and tracking across systems
  • Ensure bookings are managed accurately to provide high data integrity when it comes to reporting on production, allotment materialisation and value add success
  • Conduct annual system audit and at other times when requested

  • Ensure accuracy of FIT bookings with relevance to market segmentation
  • Monitor and follow up with relevant source/ department on accommodation adjustments/ rebates/ cancellations/ no-shows to ensure accountability and continual training is conducted
  • Ensure deposits and prepayments are taken in accordance with EVT Policy in a timely manner
  • Prepare for and actively participate in EVT revenue meetings offering operational systems information, action accordingly
  • Create appropriate upselling targets for team and drive delivery

Guest Experience

  • Drive benchmark levels of guest experience as the "first point of contact" for all enquiries
  • Work with Hotel Management to ensure quality product delivery and design products and concepts to improve the customer experience. Ensure the property is positioned to deliver a brand and market leader position
  • Focus on maintaining a high level of Reservations Accuracy through collaboration with the Front Office and F&B Leaders and teams (with assistance of policies and procedures). Maintain a low score of problems with reservations accuracy
  • Maintain accurate profile management in conjunction with the Front Office Leader, by consistently monitoring and merging profiles for accurate statistical data and accuracy of reservations. Monitor Front Office tracking of guest history details
  • Drive a culture of Loyalty Recognition ensuring all Priority Guest Rewards members receive exemplary service at all times
  • Develop rapport with regular guests, clients and VIP's
  • Manage responses to all online guest feedback

Skills & Experience:

These are the desired skills and experience for this role:

  • Bachelors or Master's degree in Hotel Management or Business Administration/Hospitality Diploma
  • Three years' experience in Reservations or Front Office management in an upscale hotel with complexity and multiple revenue streams
  • Demonstrated ability to interact with guests, employees and third parties that reflects highly on the hotel, the brand and the Company
  • Comprehension of Hotel systems and revenue management principles
  • Be an effective communicator who is flexible and adaptable to change. Be motivated and independent and have a high attention to detail
  • Highstandard of telephone etiquette withexcellent organisationalskillsandteammanagementwitha personal belief in guest service and quality
  • Be highly focused and have a dedicated work ethic. A person who can prioritise tasks based on business needs
