OverviewThe Role: This pivotal role provides comprehensive administrative support to our Associate Director of Cloud and Infrastructure and General Manager of Production Services. You will be instrumental in ensuring the efficient and professional operation of the department, managing diaries, coordinating meetings, handling correspondence, and supporting key leaders in their daily routines to maintain seamless operations.
Our TeamYou will be an integral part of our Technology division, specifically within the Technical Infrastructure department. This team supports critical cloud and production services and collaborates closely with senior leadership to maintain a high-performing environment focused on innovation.
Key Responsibilities- Provide comprehensive administrative support to the Associate Director of Cloud and Infrastructure, General Manager of Production Services, and their Leadership Team.
- Create and process purchase orders, perform invoice reconciliations, and manage vendor invoicing.
- Prepare and compile correspondence, reports, and presentation materials.
- Organise and coordinate internal and external meetings, including minute-taking and paper distribution.
- Manage complex diaries, to-do lists, and inboxes for senior leaders.
- Oversee department Reward & Recognition budgets and manage user account access for licensed software platforms.
- Coordinate team-based events and support employee engagement programmes.
- Build and maintain strong relationships with managers across the company.
- Minimum of 3 years' personal assistant experience in a similar role supporting a Management team.
- Excellent written, interpersonal, and verbal communication skills with meticulous attention to detail.
- Proven ability to work independently and manage tight deadlines effectively.
- Extensive diary management and organisational skills, adept at handling multiple tasks.
- Competency in all Google and Microsoft Office applications, with proficiency in Google Workspace preferred.
- A proactive approach to identifying solutions and resolving internal administrative issues.
- Experience dealing confidently with senior management and all levels of the management team.
- Familiarity with financial processes, including accounts receivable.
- Highly Desirable: Knowledge of IT/cloud terminology and experience working within a large enterprise or financial services industry.
Location: Toowong, Brisbane, Queensland. Hybrid work: work from home 2 days a week with the office in Toowong.
