About the Role

Join our team as the Coordinator, Academic Advising, and play a crucial role in aligning operational, technical, and systems capabilities to ensure the smooth delivery of the University's Academic Advising program, a key part of our Student Life strategy.

In this role, you will collaborate with colleagues across various service areas and academic divisions, coordinating and preparing large-scale program outputs such as scheduled Academic Advising appointments and ensuring effective communication to staff and students each semester. You will support internal progress reporting to senior executives and promote program awareness and engagement initiatives.

Your responsibilities will include:

Coordinating, developing, and delivering annual planning cycles across departments, and Academic Divisions for timely and effective Academic Advising delivery. Liaising with colleagues in OneCRM, StudentOne, and Timetrade to align and prioritise university-wide systems, business processes, and administration for the Academic Advising Program. Coordinating accurate documentation and maintenance of core business processes and logic maps, building and maintaining a central repository with internal stakeholders to support effective advising and mentoring administration.

Occasional work out-of-ordinary hours may be required during peak periods.

Who we are looking for
To succeed in this role, you'll need excellent people coordination and collaborative skills, and strong program coordination abilities, all while maintaining a commitment to enhancing the student experience. You'll have experience planning, delivering, and evaluating services or programs for a diverse range of students and stakeholders. Strong problem-solving skills, creativity, and the ability to work collaboratively with teams are essential. Your innovative approach and proactive initiative will drive continuous improvement and new ideas. Your excellent oral and written communication skills will help you connect with diverse student, stakeholder, and client groups. Additionally, your ability to work effectively within and across teams using collaborative methodologies will be key to your success.

You will also have:

Degree or extensive experience in business analysis and process design. Experience with multiple, complex large data-sets in a deadline-driven program delivery context. Ability to prioritise requirements, assess project scope and solution viability, and escalate issues based on scale and impact. Experience preparing informal progress updates and formal reports for senior management. Results-focused with adaptive reasoning, sound judgment, critical thinking, and the ability to identify trends and issues for exceptional service delivery.
