MAYDAY Recruitment is currently recruiting a highly responsible, proactive and adaptable Officer Manager/Personal Assistant to join a family owned commercial construction business specialising in new build, refurbishment, remedial and workplace fit-out.


You will provide exceptional organisational and administrative support to the joint State Managers and the wider team in conjunction with general office management and administrative duties to ensure the smooth running of operations of the State office.

What will you be doing?
Undertake reception duties and organise office administration operations to ensure smooth running of the office on a day-to-day basis:

  • Meeting and greeting all visitors, distributing incoming mail, deliveries, ordering couriers, post outgoing mail, office and facilities management duties, including screening and announcing calls, general typing, filing, archiving, maintaining office supplies and record keeping.
  • Arrange interstate flights and accommodation for the Melbourne team as required.
  • Order, maintain, allocate and perform regular stock takes for office stationery, kitchen and cleaning supplies, company clothing and PPE.
  • Arrange internal and external meetings as required, including breakfasts, luncheons, dinners, morning teas and coffees.
  • Provide administration assistance to the wider team, e.g. arrange meetings and refreshments, typing, and presentation work.
Support the joint State Managers daily to ensure their day is well-planned and runs smoothly:

  • High level diary management, reconciliation of expenses, liaising with various stakeholders and updating contacts in Salesforce.
  • Arrange interstate flights and accommodation for the State Managers as required.
  • Answering calls, screening calls and forwarding phone messages.
  • Provide support with submissions, marketing materials, events.
  • Assisting HR with onboarding new staff, inductions and making sure they are set up with all their tools, equipment, PPE, security passes.
  • Coordinate staff training and, audit and monitor training records to ensure all staff training remains up to date.
  • Provide event and marketing coordination at internal and external events.
  • Excellent organisational skills and prioritisation skills
  • 5 years+ experience in a similar role, preferably in the construction industry but not essential.
  • High level accuracy and attention to detail regarding all written documentation and presentations, including proofreading capabilities & diary management
  • Advanced English written and verbal communication skills
  • Marketing knowledge to assist in strengthening and promoting the company's brand at the highest level
  • Advanced level in the full Microsoft Office suite
  • Advanced level of time management and followup skills
  • Proactive ability to see where improvements to tasks are necessary and take initiative to problem solve
  • Advanced production skills including operation of colour printers and cutting tools
  • Qualifications in Business Administration highly regarded
