What you will do:


The purpose of this role is to be the first point of contact for the business, supporting the smooth operations of Bain's front of house and assist the planning and execution of various events.

Office Services

  • Meet and greet guests in a friendly and professional manner
  • Maintain the reception/front of house area and ensure it is clean and organised at all times, adhering to health and safety protocols
  • Managing incoming calls and direct as necessary
  • Ownership of Sydney reception calendar and inbox and calendar management for Sydney client meeting rooms including identifying and solving clashes
  • Manage all incoming and outgoing mail, packages, and deliveries
  • Provide excellent customer service to clients and guests, ensuring their needs are met and any questions or concerns are addressed promptly
  • Work with Specialist, Office Services to ensure meeting rooms are always well maintained (i.e. clean and ready for use, whiteboards clear, stocked with water/stationery, technology working)
  • Manage staff security cards and staff locker allocation, maintaining excel tracker
  • Organise catering for meetings and functions as requested
  • Assist with adhoc administrative tasks such as data entry, preparing/updating materials, photocopying, printing, and binding
  • Managing the Australian Practice Calendar and Inbox, and Australia Contacts List to ensure all events and contacts are up to date (as part of national OS team)
  • Ensure Sydney Office Procedures Manual and Services Directory is up to date
Events

  • Coordinate and execute events for office and teams such as training days, offsites and practicewide meetings
  • Provide additional support morning/night of inoffice events, ensuring client space/breakout is setup/broken down accordingly
  • Plan event logistics including venue selection, catering, transport, and tech requirements
  • Collaborate with internal and external stakeholders to ensure smooth delivery of events

About you:

  • Proven experience working in a professional environment in administration, reception, event organisation or similar
  • Passionate about customer service and keen to use your initiative
  • Excellent communication skills, both in verbal and written
  • Ability to work independently and as part of a team
  • Enthusiastic and motivated, willing to listen and learn
  • A confident multitasker who conveys calm control when helping others
  • Familiar with basic office procedures and enjoy solving problems
  • Proficient with Microsoft office suite
  • Keen interest in events and ability to manage multiple tasks and prioritise effectively
  • Excited to work as part of a team that seek ways to continually improve our service
