About the role


The Enrolments Officer is the first point of contact the prospective parent and student has with the College, therefore must maintain a professional and friendly manner, and efficient and timely communication are integral in influencing parents' and students' impressions about the College as their preferred education provider.

Team support and flexibility is a vital component of administrative business at St Joseph's College.

All team members must contribute to the effectiveness of the day to day operations and positive working environment of the College office, in which they may be called to work across the various administration roles.


The position holder is expected to have a professional working relationship with teaching and non-teaching staff and the whole school community, exercising discretion and respect for confidentiality.

General Administration Skills:

  • Possesses broad experience in administration and data management
  • Possesses highly developed computer skills and the ability to organise, multitask and prioritise
  • Ability to use Microsoft packages including Word, Excel, Outlook & Publisher
  • Ability to learn and use other software incl. eMinerva, General Access, TimeTabler, O36
  • Possess the capacity to implement College policy directives and keep themselves informed of College operations to ensure accurate response to enquiries
  • Ability to work as part a team, and autonomously, prioritising work to conflicting deadlines

  • Strong interpersonal skills tactful, diplomatic
  • High level communication skills written and oral
  • Ability to interact diplomatically with the College staff, parents, students, and other community members
  • High regard for confidentiality, reliability, and integrity
  • Understand the College mission and vision and be able to articulate it in words and action
Relevant certificate qualification and/or work experience desirable but not essential.

The role holder is responsible to, and reports on, all aspects of the role to the Business Manager and/or the Principal.


Duties will include, but are not limited to:


  • Enrolment Management
  • Implementation and organisation of the full enrolment life cycle
  • Liaise with parents and community regarding enrolment enquiries and follow up necessary for paperwork
  • Schedule enrolment interviews and send offers of placement
  • Exiting students and update data systems
  • Process confirmation forms (excl. Finance Agreement)
  • Make regular contact with parents of waitlisted enrolments re: updates/placement
  • Ensure student data in eMinerva is accurate, with consideration to TimeTabler
  • Assist with Orientation days

Contribute to Marketing & College Development

  • Organise College Principal tours as required
  • Work with the leadership team to promote and organize Orientation days and new parent information evenings/sessions
  • Proactively contribute to the updating of the College website and Parent Portal, information handbooks and other enrolment and promotional material as required
  • Liaise closely with local feeder schools and child care centres regarding transition programmes and other other programmes to grow the College's profit within these school communities

Organisational Tasks and Administration

  • Ensure student and family records are kept up to date during the enrolment process including where necessary notes and support correspondence for waiting lists, enrolment, withdrawal, medical, custodial, bursaries and wellbeing issues, keeping the database accurate and data available as required
  • Ensure a quality filing system which can integrate into archives
  • Relief cover of Main Reception, and back up during busy periods as required
